Receptionist
Job Function: Responsible for performing clerical and administrative duties
Supervises: No one
Reports To: Administrator
Primary Responsibilities:
1. Receive visitors and telephone calls with appropriate greeting and connect them to the proper party.
2. Write messages with necessary information and distribute them.
3. Assist management staff with typing and clerical duties.
4. Perform other duties as requested by the Administrator.
Specific Duties:
- General
- Monitor the front desk.
- Assist the public and the residents in a courteous manner.
- Answer the phone, write messages with necessary information and distribute to appropriate parties.
- Keep front area neat and tidy.
- Monitor supplies, including conducting inventory and ordering.
- Monitor office equipment, i.e. fax machine, computer, copier, etc.
- Coordinate the distribution of all mail:
i. Incoming mail – distribute
ii. Outgoing mail – address and postage
- Maintain original copies of all forms.
- Maintain tracking forms for residents and employees.
- Maintain sign-in sheet for lobby.
- Maintain office files.
- Monitor postage.
- Handout and collect applications from possible new employees.
- Create nametags for new employees.
- Assist as requested within guidelines of company and regulatory policy.
- Accounts Receivable
- Prepare envelopes and post mark monthly statements.
- Collect rent from residents/family.
- Accounts Payable
- Incoming bills – open, date, and review.
- Follow-up with vendors to ensure timely submitting of invoices and statements to facility.
Qualifications:
Education: High School Diploma or equivalent
Experience: One-year experience in general office skills.
Experience: Evaluated on an individual basis
Salary : $23,300 - $29,500
