POSITION SUMMARY:

This position serves as the official custodian of student records in a manner that is consistent with the HCI’s mission and accreditation standards. The Systems Registrar ensures the security, maintenance and integrity of manual and electronic student records/data and facilitates enrollment and retention of students. Provides oversight of registration and the registration reporting processes for all HCI campuses.


PRIMARY DUTIES AND RESPONSIBILITIES:

  • Responsible for monitoring policies concerning student enrollment, enrollment verification, academic records, matriculation, transfer credits, grade reporting, processing, academic progress, graduation and degree certification. 
  • Collaborates with the Assistant Registrar, partners with Admissions, Advising, Financial Aid, faculty, distance education, IT, the Director of Education, Career Services, Accounts Payable and other institutional leadership and staff. 
  • Complies with state and federal regulations, and accreditation standards. Maintains, generates, analyzes data and reports to support assessment and development of a culture of continual quality improvement. 
  • Ensures compliance with the Family Education Rights and Privacy Act (FERPA). 
  • Completes and monitors degree audits and supervises the coordination, evaluation and certification of all graduation applications while overseeing the complete graduation process.
  • Coordinates the review of candidates for graduation and provides documentation degree requirement completion for approval of degree conferral. 
  • Prepares semester schedules in consultation with the Director of Education and faculty.
  • Generates reports and statistical data to assist in strategic and annual planning and decision making.


Requirements

SKILLS/COMPETENCIES/QUALIFICATIONS:

  • Knowledge of student information systems and identifies appropriate actions and communicates solutions to management, staff and students.
  • Excellent communications, academic and administrative, interpersonal and organizational skills and a commitment to outstanding student service.
  • Ability to effectively communicate clearly and consistently in writing and verbally, with students, external agencies and to work cooperatively with all colleagues as a member of a team.
  • Manages multiple projects simultaneously while achieving goals and objectives and works effectively under pressure to meet deadlines.
  • Assesses Proficiency in use of Microsoft Word, Excel, Power Point, Measurable Expectations/Fiscal Responsibilities (i.e., quarterly reports, annual events, etc.).
  • Develops and submits semester and annual reports associated with the cycles of enrollment management and the Registrar’s Office approved parameters and compiles enrollment statistics. 
  • Facilitates the movement of students through their programs, ensuring that records are properly kept, class scheduling is completed, and scholarship and grant information is disseminated. 
  • Performs other duties as assigned

EDUCATION:

  • Bachelor’s degree with three to five years’ experience in college or university Registrar’s Office.
