What are the responsibilities and job description for the Corporate Receptionist position at Helix Energy?
Helix is currently seeking a qualified individual to fill the corporate receptionist position for the main lobby area of our corporate office. This is a highly visible role as this individual works on the corporate/executive floor and will be the first point of contact for visitors, vendors, clients, job candidates, and corporate staff therefore a positive, engaging, and welcoming personality is a must.
Skills/Qualifications:
- Proficient in MS Word, Excel, Outlook
- Dependability is critical
- Professional appearance good hygiene is necessary
- Strong multi-tasking and prioritization skills required
- Administrative/executive level support experience is a plus
- Ability to communicate effectively with all levels of the organization
- Must have strong interpersonal skills and ability to handle sensitive communication situations in a professional manner
- Ability to work independently as well as within a group
- Solid typing, communication, and proofreading skills
- Ability to sit for long periods of time
- Cisco phone systems experience is a plus
Responsibilities Include but are not limited to:
- Serves as first point of contact and assistance to visitors, vendors, clients, and personnel for the Corporate Offices of Helix Energy Solutions Group, Inc.
- Manage incoming calls and route as needed
- Accept, sign, log into records, and distribute incoming/outgoing deliveries
- Track incoming and outgoing packages daily
- Provides administrative assistance to the Facilities Manager including vendor relationship administration, process improvements, updating manuals, and various projects as assigned
- Maintain a clean and inviting receptionist and lobby area
- Stamp incoming invoices and file accordingly for Accounts Payable
- Communicate and follow up with building management timely and effectively
Education: Minimum of high school diploma or equivalent
