Director of Event Services
The Director of Event Services has primary responsibility for overall supervision and coordination of facility reservations and usage via the master calendar and coordinating auxiliary services and logistics for internal and external clients.
- Coordinate and schedule reservation of campus facilities via master calendar scheduling software
- Develop and implement policies for the use and maintenance of the master calendar
- Manage website and related online management forms and database
- Coordinate with campus offices, facilities administrators, and academic departments regarding the use of campus spaces
- Consider ways to utilize and optimize use of campus space
- Coordinate external client use of campus space
- Coordinate logistical arrangements
- Coordinate all legal matters regarding external clients, including facilities use agreement and contract, and special events insurance
- Update pricing standards for facility rentals and auxiliary services
- Hire, train, and supervise support staff as needed
- Coordinate billing from all involved campus departments
- Coordinate alternative revenue services and programs for the college
- Oversee the college community’s summer programs on campus including sponsored summer programs and athletic camps
- Oversee operation of the Spirit Store and Mail Room
- Coordinate all legal matters including waivers, release forms, and requirements related to minors
- Meet with and train staff as needed
- Promote programs and events in the community
- Coordinate billing from all involved campus departments
- Manage external photography/videography requests and agreements
- Manage athletic suite reservations and billing
- Manage general department
- Manage department budget
- Manage supplies
- Create and share reports as needed
- Assist with other duties as assigned
Position Qualifications:
- High School degree with relevant years of experience is required, Bachelor’s degree preferred.
- 3-4 years of relevant experience with a record of self-motivation and individual accomplishments,
- experience in team setting with a history of strong contributions to a team required,
- strong interpersonal skills,
- program budgeting skills,
- proficiency in Microsoft Office software,
- excellent command of the English language,
- flexibility, and the ability to handle multiple tasks. Occasional weekends, nights, and travel required.
- Discretion and strict maintenance of confidentiality are essential.
