What are the responsibilities and job description for the Sales Coordinator position at Hilton Garden Inn – Appleton/Kimberly?
Purpose: To act as personal support for the Sales Department. To detail all in-coming functions, maintain room block inventories, and qualify all in-coming sales calls.
Responsibilities:
- Performs general duties including typing, dictation and answering telephone.
- Details BEO's for all meeting events
- Processes all paper flow in and out of Sales management offices.
- Maintains a filing system of reports and pertinent records.
- Provides professional and courteous guest service at all times.
- Organize your own activities to make the best use of your time.
- Express yourself well when talking to potential guests, discuss features of the products and services involved and convince the other person of both your knowledge and integrity.
- Keep accurate records of contacts, sales, and purchases.
- Be available on nights, weekends, and holidays.
- Provides professional and courteous service at all times.
- Qualifies all prospective leads.
- Meets with and maintains rapport with individuals and contacts in order to produce groups and/or convention business, to include guest room, meeting space, services and catering/banquet sales for both the group and transient markets.
- Attends all high-profile events hosted in the hotel.
- Attends civic meetings ensuring a positive rapport and relationship with area decision and opinion leaders, including but not limited to; local chamber, convention and visitors bureau, rotary, airport, etc.
- Schedules group rooms, conventions, and business group activities and meetings at the hotel.
- Maintains as liaison with other departments to facilitate services agreed upon by the sales office and prospective clients.
- Maintains good rapport with area business leaders and local civic groups and companies.
- Enforces sales related policies and procedures.
- Ensures that sales activities meet or surpass profit plan.
- Develops and maintains client files.
- Works with the local Sports Marketing, Economic Development, and Convention and Visitors Bureau to control dates, availability, and rates.
- Prepares reports as outlined including, but not limited to Productivity Reports, Weekly Plans, Sales Call Reports, Market Share Analysis and Forecasts.
- Attends weekly staff, BEO, and revenue management meetings.
- Attend and present data, as requested at all meetings with management company and ownership groups for the hotel.
- Valid Drivers License.
- All other duties as assigned by the Management Company.
Physical Demands: Lifting up to 20 lbs. Maximum with frequent lifting and/or carrying of objects weighing up to 10lbs. Requires walking or standing to a significant degree, reaching, handling, feeling, talking, hearing, seeing.

Pay: $15.00 - $18.00 per hour
