What are the responsibilities and job description for the Accounts Receivable Analyst position at Hollander Sleep Products/ Surefit Alburits PA?

Overview: The Accounts Receivable Analyst reports to the Accounts Receivable Supervisor and supports all activities relating to accounts receivable. This position communicates with other departments including Planning, Sales, Product Development, Quality Control, Finance, Human Resources and the Plants. This individual must possess the analytical ability to interpret large volumes of data to reconcile customer accounts, payment remittance and customer deductions. This individual must also possess the ability to work in a team environment, adhere to month/year end accounting deadlines and be detailed oriented.

Essential Duties and Responsibilities: (Includes the following, other duties may be assigned)

  • Reconciliation of customer payment remittance:

o Perform analysis of customer payment remittance, which may or may not be equal to the total payment amount
o This may include, but is not limited to, customers who do not remit payment by invoice, but by PO or ASN and/or customers who do not include deduction details on remittance
o Obtain remittance details and/or deductions from customers websites and download the information to be applied in Oracle
o Escalate any unresolved and/or unbalanced issues to A/R immediately, to ensure accurate and timely processing

  • Cash application of customer's payments
  • Responsible for following up on all deductions within 48 hours of the deduction being taken and systematically following up until resolved or paid
  • Document daily deductions/debit memos and check copies onto shared drives to ensure the Compliance Department can timely work on recovery of deductions or dispute
  • Provides monthly reports for bank reconciliation purposes to A/R
  • Customer collections, which includes v-look up reconciliations between AR Aging and customer data obtained via e-mail or websites
  • Liaison with IT Department to identify, record and escalate any missing or invoices not received
  • Assist in periodic auditing of finance department, as requested
  • Special projects regarding customer account reconciliation and/or process improvement, as assigned by A/R Supervisor

  • 5 years of Accounts Receivable and/or accounting experience, preferably in a manufacturing environment
  • Intermediate to Advanced MS Excel skills {VLook-up and Pivot Table experience strongly preferred}
  • Experience with Accounting/Receivables Modules within Oracle EBS, SAP or ERP platforms preferred.
  • Detail oriented and organized, with strong analytical skills and problem solving skills
  • Excellent communication and interpersonal skills, both written and oral
  • Attention to detail and accuracy
  • Team player
  • Ability to multi-task and meet month end deadlines

When in corporate location, Associates in this role may spend over 90% of the day in a stationary position while using a computer or other devices. When in a manufacturing location the majority of the day may be spent standing and walking. Good manual dexterity is required to use common office equipment (e.g., computers, mobile devices, calculators, copiers, scanners). There is also an occasional need to position self to maintain equipment, including under tables and desks as well as the ability to move about the office and common office areas.

There is also an occasional need to bend, stoop and lift (typically less than 10 lbs.). as well as frequently touch and feel. The ability to hear and see with vision abilities in close vision, distance vision, peripheral vision, depth perception and the ability to adjust and focus is necessary.

When in corporate, Associates in this role spend much of the day in a climate-controlled office environment with a low to moderate noise level.

When in a Manufacturing location in the production / warehouse areas, the Associate may be exposed to moving mechanical parts. The noise level in the work environment is usually moderate however there may be areas designated as Hearing Protection required and provided earplugs are mandatory in those areas.
There may be areas of the plant and warehouse areas where exposure to heat and/or cold can occur. The Associate may be exposed to dust and floating particles used in the manufacturing, storage and inventory of raw materials and finished goods.
