General responsibilities to include:
- Primary function to enter A/P invoices, trouble shoot and follow up on A/P issues and requests
- New vendor set up
- Certificate of Insurance verifications
- Records retention coordinator
- Collect, review and analyze complex and/or confidential information
- Maintain high level of confidentiality when working on sensitive material, information and communication
- Back-up to Operations Support Manager regarding, facilities, cleaning concerns, community, front office operations, conference room scheduling, and catering
- Provide limited administrative support to multiple departments or executive teams
- Back-up relief for front desk/warehouse clerk
- Responsible for training, and coaching lower level clerical staff
- Ability to manage outside vendors, customers, and guests for preparation of meetings including room scheduling, set up, signage, and meeting minutes
- Provide customer service for all employees with inquiries in the areas of safety to include, but not limited to; Personal Protective Equipment (PPE), uniforms, lockers, general questions, etc.
- Order all cleaning supplies for closet. Keep an adequate supply for contractor and Hood Sanitation team use Inventory weekly for usage
- Order and maintain adequate office supplies
- Knowledge of office equipment, mail, and shipping processes
- Assist with employee events, meetings, birthday cards, etc.
- Uses discretion, judgement and knowledge of organization to facilitate day to day activities
EXPERIENCE/EDUCATION
- BS preferred- Minimum AAS with a minimum of 5 - 7 years’ work experience.
