Horizon Health is a Critical Access, Rural Health Facility comprised of 25-inpatient beds located in Paris, IL & a multitude of outpatient clinic settings including Family Practice and Specialty Clinics in Paris and surrounding cities. Position Summary:
The HR Assistant provides support services to the HR Team. Support services include, but are not limited to: clerical functions; maintaining employee files; assisting with new employee orientation; sorting, prioritizing, and distributing mail; ordering supplies; and filing. Acts as a resource person to receive, resolve, and/or refer community, staff, or employee personnel questions, complaints, or concerns under the guidelines of hospital policy. Verifies and maintains licensure for appropriate staff and assures information is accurate and current. Schedules meetings, activities and events are necessary. High level of confidential information exposure and responsivities are required.
Essential Functions:
- Maintains accurate and updated employee files by processing employee status changes in a timely manner.
- Creates employee badges and badge buddies.
- Perform customer service functions by answering employee requests and questions and assist employees and supervisors with basic interpretation of HR policies and procedures.
- Maintains high level of confidential information.
- Verifies and maintains records of licensure for appropriate staff.
- Maintains organized records and files and can easily find information when requested.
- Prepares paperwork required for new hires and establishes personnel file.
- May meet with all new employees to complete new hire paperwork.
- Enters all new employees in ADP system.
- Maintains a good working knowledge of of ADP.
- Processes enrollments, changes, and terminations of participants in all benefit plans and programs. Completes/compiles/updates employee benefits documents.
- Schedules benefits orientations for new employees or status change benefit eligible employees.
- Serves as contact person for employee’s day to day benefits administration services. Assists employees with any issues, general and benefit related questions.
- Has working knowledge of office equipment and computer software programs.
- Assists with monthly New Employee Orientation updating information as necessary and requested.
- Work produced is accurate, complete, and concise with attention to detail & accurately completing files, logs, schedules, reports, correspondence, and documentation.
- Assist with organization of office to maintain timely and accurate flow of information.
- Maintain minutes to meetings, if requested.
- Assists HR Manager with the planning, preparation of and function of social activities sponsored by the HR department.
- Supports and promotes the hospitals mission, vision, values and goals. Models PCH/FMC’s Behavior Standards.
- Maintain behavior standards using PRIDE and Commitment to Co-Workers guidelines.
- Assist the HR Team with other duties as assigned.
The responsibilities listed above are not all-inclusive; other activities may be required in support of the hospital’s goals and objectives.
Position Requirements:
- High School Graduate or equivalent.
- 1-3 years’ experience in a health-related field preferred.
- 1-3 years hospital experience in clerical duties preferred.
- Experience with Microsoft Office programs.
