JOB SUMMARY:

The Development Assistant is a key team member who will support the development team and its activities through the fulfillment of a variety of data and administrative support activities, including major donor stewardship planning, donor/donation information via Salesforce CRM tool, individual donor and grant research, special event support and a variety of administrative activities. The Assistant reports to the Major Gifts Officer and the Director of Development, works closely with the Development Manager, and supports the entire development team.

JOB RESPONSIBILITIES:

  • Perform all aspects of donation entry, donation acknowledgement and reporting on contributions in Salesforce donor database. Manage recurring donation processing.
  • Complete all aspects of donation entry, in Salesforce donor database, including gift entry, daily processing of donor acknowledgment letters, identifying key gifts, and creating/updating donor records.
  • Manage the daily deposit process, including notifying development of all major gifts received.
  • Complete and distribute all ongoing development reports on a timely basis.
  • Perform database maintenance and clean-up projects to improve data integrity and database performance.
  • Maintaining organized electronic and hard copy filing systems for all development revenue documentation.
  • Work closely with the Major Gifts Officer and the Director of Development to support the major donor steward ship process. Manage the scheduling and logistics for donor visits and prepare personalized meeting materials for staff and volunteers attending the visits. Track post-meeting follow-up activities to maximize donor-facing meetings and activities with donor prospects.
  • Develop customized donor communication and leverage existing communication tools to ensure donors and prospects are consistently and purposefully engaged.
  • Assist volunteers, Board, staff, and committee members to identify individual prospects, including scheduling and basic prospect research.
  • Track all major donor activities and track progress towards the major gift campaign timeline and financial goals.
  • Provide support for and coordinate all donor recognition activities, including guest list generation, invitation and rsvp process, venue liaison, food and beverage, presentation materials and post-event follow-up.
  • Act as primary team member for all mailing projects including mailing list generation, materials coordination, managing mailing timelines, and liaising with fulfillment contracts and others.
  • Coordinate and act as primary printer liaison for all development printing projects.
  • Maintain inventory of marketing and communications materials, development materials, agency letterhead/envelops and other key print documents.
  • Provide administrative support for signature special events (e.g. Gala) including assisting with mailings, phone inquiries, in-kind gift tracking and other clerical duties as designated by the Director of Development


QUALIFICATIONS:

  • Bachelor’s degree in a related field preferred.
  • A minimum of two year’s prior administrative experience, preferably in fundraising/ development office strongly preferred.
  • Prior experience with fundraising software and information management; experience with Salesforce is a strong plus.
  • Ability to work both independently and as part of a team.
  • Excellent interpersonal skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) required.
  • Ability to organize, prioritize work and work independently.
  • Excellent organizational skills and the ability to assist on multiple projects simultaneously.
  • Ability to present information concisely and effectively, both verbally and in writing.
  • Must have smartphone to utilize Agency communication and collaboration tools.
  • Must provide own transportation.
