Job Summary
The Project Management Office Coordinator is a supporting role for the Lead PMO Coordinator and for the Project Management Office in general. The responsibilities are broad in nature and will be assigned based upon competencies and experiences of individuals in the role.
The PMO Coordinator is primarily responsible for facilitating the successful delivery of all systems and services delivered from Project Management Office. Primary functions include assisting Project Managers deliver projects on-time, on-budget, and with a high level of quality. Additional support of the technical production departments may also be required.
The role includes administration, coordination, quality assurance, and other duties as assigned by the Lead PMO Coordinator and/or PMO Manager.
Essential Duties and Responsibilities:
· Work within Cenero’s PMO project framework to complete assigned tasks of varying nature at all stages of a project’s lifecycle.
· Maintain strong, positive, and trusting relationships with Project Management Team and facilitate project efficiencies, quality, and profitability.
· Manage project database ensuring accuracy of key dates, punch lists, and other project information.
· Assist project managers navigate through a variety of project tasks and challenges such as project scheduling, site surveys, low voltage permits, deliveries, validation of equipment staged to ship, equipment tracking, and submittals, among others.
· Initiate coordination for moving projects forward which are either near finishing, stalled, or at risk of missing deadlines.
· Work with Cenero’s Subcontracting Team to accelerate issuing contracts with accurate information and to provide invoice approval/reconciliation.
· Provide client facing backup coverage for project managers who may be on PTO or otherwise unavailable.
· Support PMO Manager and Technical Production Manager with gathering and validating time sheets and expense reports.
· Act in accordance with Cenero’s core values and professionally manage stakeholder expectations.
· Other duties as assigned.
Experience and/or Education:
· Bachelor’s Degree or equivalent experience
· Minimum of two years in the Audio Video industry
· Proficient in Microsoft O365 applications
· Technically competent with ability to understand signal flow drawings and basic functions of primary equipment
· Applicable industry certifications preferred (PMP, Avixa CTS, OSHA, etc.)
· Valid Driver’s License and clean Motor Vehicle Record
Skills:
Understanding of construction project management, project management theory, and common scheduling practices.
· Technical understanding audiovisual systems design and installation.
· Adept with audiovisual best practices for implementation.
· Proven ability to significantly contribute toward or lead operation initiatives.
· Strong interpersonal and communication skills (written and oral), with the ability to work effectively with all levels of the organization, both internally and externally.
· Proven problem-solving skills and creative thinking to ensure success of objectives.
· Ability to motivate and effectively collaborate with project team members comprised of technical and administrative personnel.
· Ability to work and think independently and ensuring to meet deadlines.
· Demonstrated customer service focus and present professional, client-facing communication skills.
Physical Demands:
- While performing the duties of this job, the employee is regularly required to sit; use hands and fingers to operate a computer and telephone keyboard; and talk or hear.
- Required to stand, walk, and reach with hands and arms.
- Must be able to lift and/or move objects up to 50 pounds.
Work Environment
The work environment is primarily in an office location. This position may require travel within a two-hour radius of Cenero Headquarters PA Office on occasion. Out of office environments may include other Cenero offices, inside schools, office buildings, and building construction sites.
