Job Summary
The Payroll / HR Specialist processes all aspects of payroll, providing a high level of customer service, and communicates effectively, both orally and in writing. Demonstrate efficiency and flexibility in performing detailed tasks in a fast-paced work environment with frequent interruptions, changing priorities, and deadlines. Must have relevant experience in dealing with sensitive and confidential matters.
The Payroll / HR Specialist will be familiar with the payroll system and will provide instruction to employees, team leaders, supervisors and managers. The Payroll Specialist will perform all functions for payroll processing, print and distribute payroll reports as required, and reconcile payroll. In addition, the Payroll / HR Specialist will work to provide support to the HR function at Tempcraft.
Responsibilities:
- Input of all payroll data into the HRIS/Payroll system for daily, weekly, bi-weekly and monthly payroll reconciliation.
- Accurately process all Payrolls to meet payroll deadlines.
- Prepares weekly, bi-weekly and monthly payroll and any all required reporting.
- Conducts hours and headcount reporting weekly for EHS, Finance and monthly metrics.
- Processes special payment batches (i.e., commissions, payouts, severance, retro, etc.).
- Responsible for HRIS administration to include new hires, terms and changes.
- Track and maintains current and earned vacation balances.
- Check error log and fix any errors and then send the AR and GL files.
- Verify payroll output against payroll reports and registers prior to distribution of checks to maintain accuracy.
- Work closely with HR Generalist to assist in On-boarding new employees and orientation process.
- Helps administer Employee Service awards and employee recognition programs.
- Responsible for initiating and maintaining Human Resource purchase orders and requisitions to support team members.
- Assist with New Hire and Termination paperwork.
- Track and update LOA's in the T&A and HRIS systems
- Assist T&A users with coding issues, corrections, edits, etc.
- Assist with ASAT reporting, both relating to HR and Payroll
- Support HR Generalist as needed.
- Prepare reports to various departments regarding payroll and absenteeism.
- Prepare and maintain various reports for the Business Unit
- Serve as administrator for T&A system, including working with vendor to address issues, set up new users and training new T&A users.
- Must be organized with strong follow-up skills and ability to stay on top of open items.
- Provides customer service to internal and external customers/clients/providers.
- Assist in maintaining personnel filing system and record retention compliance.
- Assist with routine audit processes by preparing payroll information as requested.
- Establishes and maintains a positive working relationship with employees and management.
- Assists with special projects related to HR / Plant process improvements and enhancements.
- Maintains appropriate records and documentation to support all payroll activities.
- Responsible for any other projects or activities assigned which are in the best interest of the Company.
- Monitor the processing of new hires, employee status changes, terminations, and other employee processes for appropriate accuracy of payroll.
- Monitor overtime and report fluctuations periodically to management.
- Ensures payroll is executed accurately and timely by partnering with human resources and management.
- Processes any manual or off cycle payments, employee reimbursements, pay card payments, termination pay as needed.
- Provides customer service to internal teams and payroll vendor as needed.
- Consult with appropriate party on discrepancies, problems, and issues involved in the payroll process.
- Researches and assists employees with payroll questions.
- Adheres to strict confidentiality practices.
- Maintains a high degree of accuracy and attention to detail.
- Accurately process all Payrolls to meet payroll deadlines.
- Ability to receive and respond to pay-related inquiries and issues using discretion while communicating with employees and their supervisors.
- Researches and assists employees with payroll questions.
- Oversees the collection of time and attendance data and communicates as necessary on issues related to time and attendance.
- Provides training on time and attendance as required. Works to document and communicate payroll procedures.
- Demonstrates ongoing knowledge of time and attendance system (Work-Brain) and payroll system.
- Ensures compliance with employment laws including but not limited to ERISA, FMLA, FLSA, ADA, OSHA and COBRA.
Basic Qualifications
- 3 years of payroll experience
- This position is subject to the International Traffic in Arms Regulations (ITAR) which requires U.S. person status. ITAR defines U.S. person as an U.S. Citizen, U.S. Permanent Resident (i.e. 'Green Card Holder')
- Employees must be legally authorized to work in the United States. Verification of employment eligibility will be required at the time of hire. Visa sponsorship is not available for this position.
- High School Diploma or GED from an accredited institution.
