Primary Purpose of Position
The Commercial Administrator will be responsible for managing, reviewing, and coordinating the documentation of internal approvals (aka Ringisho at Hoya) by supporting the sales and marketing teams with Ringisho submissions, commercial agreements, ensuring the Ringisho language matches the agreement, is compliant and is complete for the approval flow. In addition, the Commercial Administrator will be responsible for learning and supporting the new account set process when needed and providing administrative support to the various departments and channels within the organization.
Key Responsibilities |
* Manage and coordinate the documentation of internal approvals (aka Ringisho at HOYA).
* Support sales and marketing teams with Ringisho submissions and commercial agreements, ensuring language is properly stated and terms & conditions are in place and compliant.
* Educate sales administration and commercial teams on policies and procedures related to commercial agreements.
* Work closely with the legal department to ensure that all agreements are compliant with HOYA's policies.
* Responsible for creating Ringishos based on commercial needs.
* Ensure compliance with HOYA's policies.
* Maintain accurate records of all commercial agreements and supporting documentation.
* Monitor and update commercial agreements as necessary.
* Continuously evaluate and improve the commercial agreement process to ensure efficiency and compliance.
* Be adaptable to changing requirements.
* Understand the New Account set up process and support the position when the new account administrator needs assistance or is out of the office.
* Assist in administrative tasks as needed.

Knowledge and Skills Requirements |
* Bachelor's degree in administration or finance.
* Proficient in MS Office - ability to learn and adapt to other programs
