JOB DESCRIPTION ADMITTING/SCHEDULING SECRETARY RECEPTIONIST
JOB SUMMARY This qualified person is responsible for the proper scheduling of impending procedures and is responsible for the greeting and admission of patients to and departure from the facility.
QUALIFICATIONS Education and Experience: A high school diploma is required. At least two years of experience in some aspect of the medical field to assure familiarity with medical terminology preferred. (Endoscopy preferred). Prefer previous experience with scheduling and receptionist procedures.
Job skills and requirements:
1. Must have basic typing skills and type accurately, preferably able to type at least sixty (60) words per minute.
2. Must be computer literate.
3. Must have knowledge of and ability to perform basic office skills.
4. Must have comprehensive knowledge of medical office and endoscopy procedures and surgical scheduling requirements.
5. Must have knowledge of reimbursement procedures.
RESPONSIBILITIES Performs general patient admission function and schedules all endoscopy cases for the following day.
1. Enters specific scheduling requests for time in Advantx Remarks prior to date of service.
2. Greets patients arriving for appointments, and checks off those patients on the schedule who have reported for their appointments after check-in.
3. Registers all patients for procedures and verifies all the information, including patient’s insurance and demographics prior to procedure, update changes in eCW.
4. Verifies all necessary patient paperwork is in patient chart.
5. Assures signatures are complete as necessary in the medical record.
6. Scans insurance cards into Advantx for each patient.
7. Collects deductibles, co-insurance and co-payments at time of check-in and gives to billing at the end of the day.
8. Notifies the endoscopy area of the patient’s arrival.
9. Obtains status of staff privileges of scheduling physician if requested via Administration.
10. Creates daily physician schedule and distributes procedure schedule according to policy.
11. Notifies facility staff of cancellation, “no shows”, added cases and rescheduled cases. Maintains cancellation information on daily schedule and reasons why.
12. Notifies the Nurse Manager of special messages from physician’s office, i.e. “will be late”, or patient telephone calls.
13. Gives patients arrival time for procedures and verifies correct patient, date of birth, procedure, PCP daily for next procedure day.
14. Verifies Operative Reports are sent to PCPs within one (1) business day.
15. Learns how to calculates Operative Report data monthly for ASCA Quarterly Benchmarking Report and does it when assigned.
16. Plans and organizes the reception and scheduling areas to include logs, making of charts, handles add-ons for the next day, adding to schedule and computer programs.
17.Performs general office functions.
