The Role
IBISWorld is seeking a hard-working, enthusiastic Office Manager/Admin Assistant with prior experience supporting a corporate environment. Reporting to the HR Generalist, you will be responsible for undertaking a variety of office-support tasks that require working diligently under pressure, dedicating a high degree of attention to detail, and incorporating new and effective ways to better achieve results. Principal Duties & Responsibilities:
- Act as the first point of contact for all visitors, deliveries, vendors, job applicants, etc.
- Prepare general email communications for building announcements and staff updates
- Receive, sort, and distribute incoming mail and coordinate outgoing mail and shipping needs
- Maintain and update office bulletin boards and office documents, such as phone lists and seating charts
- Maintain an accurate roster and headcount for the office including hybrid and external employees
- Perform ad-hoc clerical duties such as data entry, printing, scanning, copying and emailing paperwork or online documents
- Liaise with the Finance department, handling vendor contracts, and payments
- Assist in new hire onboarding processes such as issuing office access badges and purchasing equipment as needed
- Maintain supplies, inventory levels, placing orders and stocking needed items from vendors such as FreshDirect, and Amazon
- Organize and coordinate large-scale events, such as meetings, midyear and holiday parties, and lunches
- Set up and clean up after in-office lunches, events, and meetings
- Ensure common areas (office lobby, kitchens, meeting rooms, and storage spaces) are clean and organized
- Maintain kitchen appliances, such as the coffee machine and water station
- Facilitate resolution of office-related equipment malfunctions and respond to requests or issues
- Ensure compliance with all building and company health and safety measures such as fire safety, first aid certification, and other equipment maintenance or trainings
- Liaise with building management for any maintenance or janitorial needs, sourcing, deliveries, and managing vendors
- Act as Tenant Administrator of the building ensuring all necessary building forms are up-to-date
- Any other duties or special projects assigned by HR and Senior Management
Basic Qualifications:
- Minimum of one-year previous corporate office administration, office support, or related experience preferred
- Bachelor's degree in administration, business, communications, or related field preferred but not required
- Experience working in a fast-paced and professional environment
- High level of accuracy and attention to detail
- Ability to deal with all confidential issues appropriately
- Outstanding interpersonal, verbal and written communication skills across a variety of stakeholders, including peers, managers, customers, and vendors
- Ability to collaborate and work well with others, but also self-motivating and autonomous
- Strong work ethic and organizational skills, with the ability to manage and prioritize various responsibilities and deadlines
- Flexibility to effectively deal with unexpected assignments and changes to workload based on management priorities and business demands
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, SharePoint, Outlook) and other business software programs
- Ability to lift and move items weighing approximately 20 pounds
Compensation: $26.00 p/hour
Schedule: This is an on-site role. Must be available Monday – Thursday and work a minimum of 24 – 30 hrs. per week.
