What are the responsibilities and job description for the Admin Assistant (Spanish Bilingual) position at Ican-B (ABA)?
The Admin Assistant position will assist several of the Administrative departments with general clerical duties. The responsibilities include, but are not limited to, the following duties:
- Answering and directing phone calls
- Assisting with emails
- Organizing and scheduling meetings and appointments
- Developing and maintaining a filing system
- Providing general support to visitors by answering questions and requests
- Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies
- Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
- Keep constant communication with the Admin staff from other counties, ensuring messages and notices are sent in a timely matter
- Handle sensitive information in a confidential manner
- Reply to email, telephone or face to face inquiries
- Receive, sort and distribute the mail
- Assist with event planning and attend events (usually 1-2 Saturdays of the month)
- Maintain the office, and keep it looking presentable (take out trash, wipe down tables, disenfect toys etc.)
- Assist Recruitment with hiring and onboarding processes
Job Qualifications:
- Ability to work Monday – Friday between 10am-4pm, for 25-30 hours
- Previous office experience is a plus!
- Knowledge of the ABA industry is a plus!
- Proficiency in computer applicants such as Microsoft Office and Excel
- Knowledge of clerical and administrative procedures such as filing, record keeping, and operation of standard office equipment
- Excellent verbal and written communication skills
- Ability to manage time, coordinate schedules, and adapt to change under strict deadlines
- Strong attention to detail and ability to multi-task
- Spanish speaking is required!

Pay: $16.00 - $17.00 per hour
