Our client is a prominent Long Island Personal Injury Law Firm. They specialize in the representation of clients within Personal Injury, Medical Malpractice, Worker's Compensation, Mass Tort, and more. Position is full time in the office.
My client is looking for a receptionist to support the office and be the initial contact for visitors on-site, as well as on the phone.
MAIN RESPONSIBILITIES:
Support the front desk– handle all incoming/outgoing calls, all guests, deal with regular and certified mail. Will need to be extremely organized to track mailing dates, return receipts, scan, and save in an organized system and update the tracking files
- Work closely with conference rooms for all schedules and meetings.
- Fax and scanning of documents, making copies, and support all internal/external documents for the firm.
- Ensure inventory of pantry and supply rooms are up to date.
- Direct and transfer clients to correct staff member
- Confirm client/prospect appointments
- Schedule appointments as needed
- Keep Log-In Sheet for clients & walk-Ins
- Note client arrival in calendar
- Copy/Scan/Save & email all client documents
- Receive Cash Advances/CC/Money Order Payments
- Meet with clients at front desk to sign any forms, Affidavits, Retainers, and ACH as needed
- Make sure lobby is presentable
MAIN REQUIREMENTS:
- Ideal candidate will have at least 3 years in a similar role and work in a fast passed environment.
- Bi-Lingual is a plus
The position is full-time in the office and is 40 hours a week. Total compensation will likely be in the $45,000 - $50,000 range benefits.
