This position will include cross-training on a multitude of tasks to support our office, so flexibility is a must. The CSR team works with a variety of schedules; 9 am-5: 30 pm and 1 1 am - close. Some flexibility is needed to help cover department for business needs.
Position Overview: We are seeking a dedicated and enthusiastic individual to join our team as a Pet Distribution Customer Service representative. In this role, you will play a crucial part in ensuring the smooth operation of the business by providing exceptional customer service and accurate order entry. Your primary responsibility will be to assist our clients with their orders, inquiries, and concerns, while also ensuring that all orders are accurately processed and documented.
Responsibilities:
Customer Service:
- Respond promptly and professionally to customer inquiries via phone, email, and other communication channels.
- Provide product information, pricing, availability, and order status to customers in a clear and courteous manner.
- Address customer concerns, resolve issues, and provide solutions to ensure customer satisfaction.
Order Entry:
- Accurately and efficiently enter customer orders into the company's order management system.
- Verify order details including product codes, quantities, pricing, shipping information, and payment details.
- Coordinate with warehouse and logistics teams to ensure timely order fulfillment and delivery.
Documentation and Record Keeping:
- Maintain accurate and organized records of customer interactions, orders, and communications.
- Update customer profiles and order histories in the company's database.
Product Knowledge:
- Develop a comprehensive understanding of the pet products we distribute, including features, benefits, and uses.
- Stay updated on new products and changes in the pet industry to provide informed assistance to customers.
Cross-Functional Collaboration:
- Collaborate with the sales team to address customer inquiries related to product specifications, promotions, and discounts.
- Work closely with the finance team to ensure accurate invoicing and payment processing.
Problem Solving:
- Proactively identify and address potential issues that may impact order processing and customer satisfaction.
- Escalate complex customer issues to the appropriate department for resolution.
Process Improvement:
- Identify opportunities to streamline and improve the customer service and order entry processes.
- Provide feedback and suggestions for enhancing the customer experience.
Inside Sales:
- Build customer relationships with existing customers by helping generate new business and ensure clients needs are met.
Qualifications:
- High school diploma or equivalent; associate's degree or relevant certification is a plus.
- Prior experience in customer service, order entry, or a related role is preferred.
- Strong communication skills, both written and verbal.
- Excellent attention to detail and accuracy.
- Proficient computer skills and experience with order management software or CRM systems.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Knowledge of the pet industry and pet products is advantageous.
