What are the responsibilities and job description for the Area Office Administrator position at Innovative Physical Therapy NWI?
· Area Office Administrator is an integral role at Innovative and oversees front office operations at our Chesterton, Crown Point, and Valparaiso locations. They will work in conjunction with our clinic directors and practice leadership team. They are the point person for our Patient Care Coordinators (PCC) and the Revenue Cycle Management (RCM) teams. The Area Office Administrator will provide support, coaching, mentorship, and lead by example to promote exceptional customer service. They are responsible for handling service solutions and monitoring the staff's performance to ensure the highest quality services for patients. Area Office Administrator manages resource allocation to support business functions and daily operations.
General Responsibilities
· Identify and implement process enhancements to promote quality patient experience and efficiency.
· Area Office Administrator to oversee all three clinics front office team.
· Help recruit and train all Patient Care Coordinator’s.
· Manage the Patient Care Coordinator’s coverage schedules.
· Provides float coverage for Patient Care Coordinator’s PTO.
· Schedules, coordinates, and leads weekly front office team meeting.
· Point of contact for insurance and billing related questions for clinical team, PCC’s, and RCM.
· Coordinates all front office operations including onboarding, patient intake process, appointment scheduling, billing, authorizations, and maintaining accurate patient records.
· Collaborates with the RCM team to verify patient benefits.
· Correspond with patients, physicians, referral sources, the community, and the team.
· Process medical records requests timely and MVA (Motor Vehicle Accident) related processes.
· Manage patient scheduling processes to ensure continuity of patient care.
· Answer phone lines with an upbeat and professional phone etiquette
· Maintain the office/clinic condition and arrange necessary repairs - Show pride in your clinical surroundings.
· Ensures all front office work is done timely and at a high level.
· Provide exceptional customer service to both Internal and External customers.
Job Qualifications & Requirements
· Previous experience as a Front Office Coordinator, Office Administrator, or possessing a background in health care /medical field would be preferred.
· The Area Office Administrator should have experience with a variety of office software (Electronic Medical Records, Outlook, Microsoft Office, and spreadsheets) and be able to accurately handle administrative duties.
· The Area Office Administrator should be able to ensure the efficient running of the clinic and help to improve company procedures and day-to-day operations.
Compensation is Based on experience

Pay: $1.00 - $2.00 per hour
