Overview
General Description: The Registrar/Administrative Assistant is responsible for assisting the Dean of the School and the Finance Officer in handling a busy ICA office to ensure proper flow of office procedures. This individual will register students, assist with daily operations, physical and digital communication with ICA families, staff, and faculty, answer phones and serve as a receptionist for all guests.
The Registrar/Administrative Assistant should be task-oriented, energetic, a self-starter who enjoys working with people, handling busy day to day operations, and collaborating with a team of professionals.
Job Skills/Qualifications:
· AA degree required, Bachelor’s degree preferred in a business related field
· Prior office experience preferred
· Ability to use E-School
· The ability to use a desk top computer including proficiency with Microsoft office programs, excel files, online registration, online ticketing
· Strong time management prioritization and organizational skills
· Strong attention to detail
· Ability to work without supervision
· Exceptional communication and customer service skills
· Ability to communicate by phone
· Ability to handle confidential information
· Strong record keeping skills
· Ability to multi-task
· Availability to work weekends and outside normal daily office hours
Job Duties
TERMS OF EMPLOYMENT: A full contract for this position is 230 days, with benefits as
specified in employee contract. Contract will be prorated based on the actual start date.
RESPONSIBILITIES
· Check student enrollment and withdrawal, student records, grades and
transcripts.
· Includes the finances for all budgets, ordering all supplies, making deposits.
· Monitor copy and fax machines, and telephones, place service calls as
necessary.
· Coordinate events, preparation of registration, Parent Orientation, and
Parent/Teacher Conferences.
· Input data for record keeping in multiple software systems.
· Ability to produce brochures, handbooks, notebooks, flyers, and meeting
agendas.
· Maintain emotional control under stress.
· Answer phones, receive messages, and respond to inquiries by staff,
parents, or patrons.
· Sort and distribute mail and deliveries.
· Collect money for student fines, clubs, classes, fundraisers, etc.
· Attend meetings/training as required by administration.
· Maintain confidentiality.
· Present and communicate in a professional manner.
