Position Summary
This role supports day-to-day operations within a Digital Imaging Center with a primary focus on digital imaging and document scanning.
The position is responsible for managing all aspects of imaging and scanning to meet contractual service level agreements (SLAs) and ensure the accurate and timely completion of customer orders.
Key Responsibilities
General Operations
- Resolve customer issues or escalate as needed.
- Conduct quality checks on all completed work to ensure it meets accuracy and standards.
- Adhere to all safety protocols and security requirements.
- Work independently and as part of a team.
- Perform duties for absent coworkers as required.
- Support other tasks as assigned by the Lead or Manager.
Mail & Shipping Support
- Receive, sort, and process mail, documents, packages, and supplies.
- Manage outgoing postal and courier services using appropriate systems.
- Track, trace, and resolve mail or courier issues.
- Maintain shipping and mail equipment; contact third-party service providers if necessary.
Document Preparation
- Validate and reconcile incoming boxes / files.
- Prepare documents for scanning by removing staples, clips, and other bindings.
- Use a handheld scanner to scan box barcodes.
- Insert slip sheets for document separation.
- Identify and handle oversized or undersized documents appropriately.
- Escalate exceptions to the Lead.
Imaging & Scanning
- Operate high-speed scanning equipment to convert paper documents into digital format.
- Perform quality inspections to ensure images are clear and complete.
- Address issues such as double feeds, folded corners, or incorrect image settings.
- Convert scanned documents to digital formats as outlined in the Statement of Work.
Skills and Qualifications
- Experience : Minimum 1 year in a Customer Service environment.
- Proficiency : Familiarity with MS Office and data entry programs.
- Attention to Detail : Ability to handle and organize large volumes of documents.
- Technical Skills : Basic knowledge of scanning equipment and processes.
- Communication Skills : Strong verbal and written communication abilities.
- Problem-Solving : Ability to identify issues and prioritize solutions.
- Adaptability : Willingness to learn new skills and adapt to changing priorities.
- Physical Requirements : Minimal to moderate physical effort; occasional moving of boxes and operating machines.
