IntePros is seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to provide top-level administrative support to the Chief Technology Officer (CTO). This is a remote role, requiring excellent communication and time management skills. The ideal candidate will handle various administrative tasks, ensuring the smooth operation of the CTO’s office and supporting the technology leadership team in achieving strategic goals.
Key Responsibilities:
- Manage the CTO’s daily calendar, including scheduling meetings, conference calls, and travel arrangements. Ensure the CTO is well-prepared for meetings and presentations by coordinating necessary materials and information.
- Serve as the primary point of contact between the CTO and internal/external stakeholders. Draft and edit correspondence, reports, presentations, and other documentation as required.
- Assist in managing key projects and initiatives by coordinating meetings, tracking deadlines, and ensuring follow-ups are completed. Maintain confidentiality in sensitive matters.
- Organize executive team meetings, including preparing agendas, recording minutes, and tracking action items. Handle logistics for virtual meetings, such as Zoom or Teams setups.
- Arrange complex domestic and international travel itineraries, including flights, accommodations, and ground transportation. Ensure travel plans align with the CTO’s preferences and budget.
- Maintain electronic filing systems, including project documentation, reports, and key executive files. Ensure all files are up to date and easily accessible.
- Process the CTO’s expense reports in a timely manner, ensuring all receipts and documentation comply with company policies.
- Collaborate with IT teams to ensure the CTO's technology setup (hardware, software, communication tools) is optimized for productivity in a remote work environment.
- 5 years of experience in executive-level administrative support, preferably within the tech industry or for a senior technology leader.
- Strong organizational and multitasking abilities, with a proven ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills, with the ability to interact professionally across all levels of the organization.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other collaboration tools (Zoom, Teams, Slack, etc.).
- Demonstrated discretion and ability to handle sensitive and confidential information.
- Exceptional time management skills, with the ability to work independently and manage projects remotely.
- Experience supporting C-suite executives, particularly in a technology-focused environment.
- Familiarity with project management tools and processes.
- Knowledge of tech terminology and trends to support CTO in technology-related discussions.
