Job Description
Primary Function of Position :
An integral part of the organization by providing administrative help to the Leadership Team (LT) as appropriate. The successful candidate must be proactive, resourceful, and efficient while displaying a high level of professionalism and confidentiality at all times.
Roles & Responsibilities :
- Provide professional administrative initiatives to the Leadership team (assist with travel, meeting logistics, expense reimbursement, etc.).
- Provide Presentation material including Power Point and spreadsheets for the Leadership Team.
- Maintain databases, spreadsheets, project trackers, etc. to be current and accurate (e.g. local vendor contact list, Facilities and IT requests, employee birthdays & work anniversaries etc.)
- Provide training curriculum management help.
- Attend regularly scheduled meetings with operations staff in order to ensure instructions are clear by all involved parties.
- Manage office supply inventory including refreshments to ensure availability of needed supplies within budget.
- Prepare monthly reconciliation of P-card purchases in accordance with purchasing policy.
- Help the Leadership team with Capital Expense Requests and execution.
- Head Planner for office social events and catering services.
- Possess a valid driver's license and able to travel-support both the Engineering and Mfg. facilities.
- Coordinate legal document (i.e. Patent assignments, declarations) signatures and filing.
- Office Management :
- Be the permanent onsite contact party for all Office related activities and ensure on an on-going basis the proper administration of the office.
- Act as the Office Manager for all activities related to Office and Facility Management
- Inventory management along with consistent and efficient ordering.
- Ensure consistent interactions with Third parties to maintain the office in the best conditions (e.g. janitorial, canteen replenishment, trash disposal, smock cleaning, etc.)
- Act as the central recipient of all security access tools and further administrate any safety outcomes namely in relation with fire contingencies and procedures (electronic access devices, alarms, etc...).
- Manage facility related projects as required : activities including, but not limited to, internal facility reconfigurations, furniture and fixtures, office equipment, machinery installation and / or removal.
- Identify opportunities for improvement and efficiency of processes to management and drive to closure.
- Drive on demand specific projects or in-depth deliverables.
Qualifications
Skills, Experience, Education, & Training :
- A minimum of 4 years of administrative experience including at least 3 years’ experience aiding executive level staff
- Excellent organizational, time management, writing and communication skills.
- Demonstrated knowledge and expertise in basic computer skills including MS office products (Word, Excel, Outlook, PowerPoint).
- Exceptional attention to detail.
- Excellent customer service and hospitality acumen.
- Ability to think through and solve problems and exhibit good judgment with clients, vendors, and staff.
- Demonstrated knowledge of professional office procedure and etiquette.
- Adeptness to multi-task and follow up.
- Capable to work autonomously as well as in a team.
- Resourceful and innovative self-starter.
- Experience with Ariba, Agile, and SAP a plus

We provide market-competitive compensation packages, inclusive of base pay, incentives, benefits, and equity. It would not be typical for someone to be hired at the top end of range for the role, as actual pay will be determined based on several factors, including experience, skills, and qualifications.

Base Salary Range Region 1 : $79,100 - $107,000
Base Salary Range Region 2 : $67,200 - $91,000
