OFFICE COORDINATOR
Full-Time

DEFINITION
Manage office systems, client reception, and all office clerical functions for non-profit health care clinic.
· Full time (40 hours/week maximum), hourly position.
· Supervisor: Director of Clinic Operations
· Probationary period: 6 months
MINIMUM EDUCATION, TRAINING AND EXPERIENCE
· Associatedegree or commensurate experience.
· 2 years of experience working in an office setting preferred.
· Fluency in written and oral English and Spanish.
CANDIDATES MUST DEMONSTRATE THESE ABILITIES:

· Maintain confidentiality and security of information.
· Provide courteous and responsive customer service.
· Maintain effective working relationships with coworkers, supervisors, volunteers, and community agencies.
· Ability to work with diverse populations, including persons of widely divergent backgrounds, interests, and points of view.
· Operate standard office equipment, including Xerox, fax and multi-phone system.
· Computer proficiency: familiarity with Microsoft 365 including Outlook, Word, Excel.
· Maintain composure and work well within a team in a multi-tasking environment.
· Fluency in English and Spanish medical terminology preferred.
SPECIFIC DUTIES:
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
· Answer multi-line phone system; assist callers and/or direct messages appropriately.
· Assist clients during clinic and business hours with information, follow-up appointments and/or referrals.
· Assist walk-in clients with pregnancy testing. Provide clients with vouchers for medication assistance and eye glasses as available.
· Schedule patient appointments
· Make reminder calls and/or texts (Care Messenger) to patients 2 days prior to their scheduled appointments.
· Schedule Specialty Clinic appointments (new chronic, dermatology, PT, etc.)
· Assist nursing staff with Spanish speaking patient follow-up calls.
· Pull patient charts for scheduled clinic appointments.
· Distribute mail.
· Copy, fax and/or mail requested medical records.
· Inventory and monitor office and clinic supplies and order as needed.
· Organize Clinic reception area, including stocking of community brochure rack.
· File patient charts.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
Expected hours: 40 per week
