Job Summary We are expanding our operations in Canada & the U.S. and are seeking an experienced Manager, Portfolio Management & Reporting to lead a team of Analysts that oversee large, complex, multi-year initiatives. The successful individual will be responsible for managing the portfolio management of critical initiatives that drive business improvements and strategic objectives for the IPEX Group of Companies. Reporting to the Director, Project Management Office (PMO), the Manager, Portfolio Management & Reporting is the go-to person for all aspects of portfolio management, reporting, and for managing the portfolio of the PMO organization (multi-year roadmap). They will work with relevant cross-functional stakeholders and track/report progress to ensure that all programs, projects, and initiatives within the entire PMO portfolio will meet their operational and strategic objectives. You will tie projects back to business goals to execute the company strategy. You will need to give acute attention to detail coupled with the ability to see the big picture, be resourceful, have risk-management capabilities, the ability to think critically, possess excellent communication skills, a can-do attitude, and the ability to inspire and motivate. The responsibilities of this role include projects and programs aimed at retrofits, upgrades, replacements, adding of capacity, and building new multimillion-dollar manufacturing, research and development, and supply chain facilities. The design, construction and launch of these facilities will be complex projects that will involve all functional areas of the company. Other business projects may include ERP/technology projects, business process redesign, or turnaround projects. Most of the work will be performed in the Greater Toronto area with some travel across Canada and to the U.S. Principal Responsibilities Portfolio Management Work closely with the Director, PMO and executives to help mature IPEX’s Portfolio Management activities Manage the intake and assessment of all new initiatives assigned, and leading the development of full business cases with cross-functional teams Supports the delivery of capabilities to identify, prioritize, manage, monitor, and assess the status of all relevant PMO projects across the organization Work with relevant stakeholders to create a roadmap for future development of PMO led projects aligned and prioritized to deliver IPEX strategic and business objectives Establish a suitable governance framework and portfolio structure to deliver the necessary project capability to support delivery of the road map and achievement of business objectives Manage a portfolio of multiple projects, managing their interdependencies, resourcing and any proposed changes which may affect project priorities Conduct portfolio meetings and attend project meetings where required Deliver a complex series of related programs, projects, and initiatives; effectively managing their interdependencies and allocating resources to support prioritized opportunities Develop the requirements roadmap for each supporting function within organization (IT, HR, Engineering, Procurement, etc.) to ensure timely and prioritized alignment within organization that enables efficient delivery of programs, projects, and initiatives Identify resourcing needs in line with the portfolio plan, ensure that portfolio colleagues understand their roles and accept their responsibilities in line with the agreed governance process Provide strategic and operational support to the PMO Leadership Team & to Department VPs to drive accountability and deliver results Collaborate with OCM to ensure maximum impact by aligning communications and activities and facilitating opportunities for productive cross-functional collaboration Reporting Supports the implementation and continuous improvement of an appropriately sized Portfolio Management program, using this to deliver analysis and status reporting on the portfolio within region Monitor the quality of project outputs to ensure strategic objectives are met Ensuring effective reporting of all projects to enable stakeholders, sponsors, and management to make appropriate decisions Building and maintaining strong internal and external customer relationships to ensure delivery of quality projects in alignment with regional initiatives and requirements across the enterprise Support continuous improvement by conducting project reviews, leveraging insights from trends, forecasting approaches or other key and strategic indicators. Team Development & Management Recruit, supervise and lead the PMO Portfolio team to ensure high service levels and customer satisfaction Provides coaching and mentoring for PMO Portfolio team members to help them achieve individual effectiveness Manages the P&L and Budget for the PMO Portfolio team Works closely with other members of the IPEX community to ensure the PMO is delivering on the needs of the organization Executes an appropriate sourcing strategy combining internal as well as capacity on demand resources within region Provide coaching and guidance to the portfolio team and build/manage meaningful and supportive relationships across the organization Qualifications & Experience Minimum 10 years of experience in a Supervisory Role managing teams of Project Analysts or PMs Minimum 10 years of experience as a Portfolio Manager required; preferably working in a structured PMO and technical environment. Minimum 10 years of technical leadership experience required ideally from a construction or engineering background. Proven track record of having managed a large portfolio of ($50M ) cross-functional projects successfully. Experience with Organizational Change Management projects Experience in leading enterprise level or large-scale projects or programs involving multiple business teams Experience in a manufacturing or supply chain environment would be an asset Ability to manage multiple initiatives and must be able to switch from one project to another seamlessly High level of energy, drive, passion, motivation, enthusiasm and flexibility in driving initiatives and projects forward in a fast-paced environment Skilled at collaborating across teams and stakeholders in the development of a comprehensive project plan that defines critical program factors such as program objectives and goals, program resources and org chart, budget, success criteria, program management and execution approach, communication planning, issue/risk/escalation planning. Knowledge of budgeting process with a strong understanding of project costs, tracking actuals, projecting forecasts, reporting, and talking through project financials Solid understanding of project management techniques, methodologies, and best practices.
