Cornerstone Services Group is seeking to fill an Office Manager role in our St Louis office (located in St. Peters, MO) with a candidate who is a reliable, well organized administrative professional, able to effectively handle day-to-day operations with a focus on efficiency and time management (i.e., multitasking, managing changing priorities and tight deadlines). Problem solving, excellent communication, impeccable attention to detail and the ability to work both independently and as part of a team are key skills.
The Office Manager is the primary support role for the branch, managing core responsibilities that include payroll, billing, collections, and maintaining employee, customer, and job-related documents.

What You’ll Do As An Office Manager:
- Ensure that all new employees complete required employment documentation (I-9s, W-2s, etc.)
- Maintain employee files, including up-to-date construction certifications (required training, etc.)
- Prepare weekly hourly payroll, including collecting timesheets, entering data into the payroll system, and ensuring that hours and pay rates are accurately charged to the correct codes
- Set up jobs in the ERP system and update job-related information as needed
- Keep job-related documentation organized and up to date in paper & electronic job folders
- Work with Account Managers to ensure that customers are invoiced promptly and accurately
- Track open accounts receivable and work with customers and the corporate credit department to resolve payment issues in a professional manner
- Ensure that subcontract agreements are prepared for all subcontractors and that proof of insurance and any other prequalification requirements are in order
- Assist with the preparation of proposals, quotations, and other customer correspondence
- Order office supplies and coordinate maintenance of office equipment
- Answer phones and greet visitors to the office

- Ability to work with data in Microsoft Excel and Accounting / Payroll systems
This Education/Experience Is Needed:
- High School Degree or equivalent
- 1-3 years of experience in an administrative role or office environment
- Notary Public certification, or willingness to obtain it with the company’s support
This Education/Experience Is Preferred:
- Associate’s or Bachelor’s degree in accounting, business administration, or other relevant field
- 5-10 years of experience in a construction office environment
- Experience with JD Edwards Enterprise One or similar ERP system
- Familiarity with AIA progress billing formats
