What are the responsibilities and job description for the ASSISTANT CHIEF DEPUTY COUNTY CLERK position at Jackson County?
The County Clerk for Jackson County seeks an experienced administrative professional to provide support for the offices of the County Clerk and Register of Deeds. Ideal candidate will have three to five years of experience in the operational function of the County Clerks office with advanced coursework in accounting, business management or related field. Prior supervisory experience preferred.
RESPONSIBILITIES:
Provides administrative support to the Chief Deputy County Clerk and the County Clerk/Register of Deeds. Duties include participating in the employment process, assisting telephone and walk-in customers, administering restitution account, processing daily deposits, as well as a variety of other functions as assigned.
Essential Functions include but are not limited to:
1. Participates in the various activities of the Clerk’s Office and responds to procedural inquiries regarding vital records, court records, accounting, and other functions in the office.
2. May assist telephone and walk-in customers by providing information and assisting in the processing of records related to the County Clerk’s Office. Performs duties of vital records and court services staff as necessary.
3. Prepares daily deposits and delivers to the Treasurer’s office, per County Policy.
4. Enters employee timesheets into the County financial system and submits for approval, as assigned.
5. Orders printing and office supplies.
6. Maintains bond forfeitures and tracks fifty-six day process. Processes declaratory judgment to the appropriate court for forfeiture to the County’s general fund.
7. Reconciles and disburses restitution monies to appropriate victims. Enters and maintains victim information in the court management software.
8. Monitors receivables for non-sufficient fund checks and sends correspondence regarding resolution.
9. Handles Case Reassignments after Judge Disqualification.
10. Coordinates with Friend of the Court Referees for motion hearing scheduling, and prepares hearing notices.
11. Enters conditional bonds in LEIN.
12. Reviews criminal history errors and processes corrections through the criminal justice software.
Other Functions
13. Participates in the employment process and training of staff.
14. Provides assistance to the Jury and Election offices as necessary.
15. Assists with Indexing
16. Any other functions as assigned by the Chief Deputy County Clerk or County Clerk/Register of Deeds
QUALIFICATIONS:
Education: High school graduation or equivalent with some advanced coursework in accounting, business management or related area.
Experience: Two to three years of clerical experience which provided familiarity with all aspects of the operation of the County Clerk’s office. Prefer some experience with window based computer programs. Previous supervisory experience preferred.
Other Requirements: Valid Michigan Drivers’ License.
SALARY COMMENSURATE WITH EXPERIENCE; BENEFITS EFFECTIVE DATE OF HIRE
