The Business Administration Specialist is the first point of contact for guests and customers of USAntibiotics and will be responsible for the smooth running and coordination of the front desk operations demonstrating integrity and maintaining a high-level of confidentiality.
Will be responsible for providig professional administrative support functions across multiple departments for diversified and evolving projects and requires the ability to work independently and collaboratively within the scope of the work tasks
ROLES & RESPONSIBILITIES :
- Provides excellent customer services and greets and welcomes guests to the campus in a friendly and professional manner furthering the mission, vision, values, and goals of the company.
- Maintains office security by following all safety procedures and controlling access to the facility.
- Notifies USAntibiotics personnel of visitors and provides appropriate directions.
- Answers, screens and routes all incoming calls. Provides basic and accurate information about USAntibiotics in person and via phone / email
- Updates daily Welcome Board.
- Maintains badge system for check out of loaner and contract badges and keeps inventory log of issuance and returns.
- Responsible for monitoring office inventory standards and facilitates ordering process
- May schedule, oversee, arrange and facilitate activities across the organization in conjunction with department manager or as assigned.
- Able to prioritize projects assigned, recommend improvements, ideas or changes to processes / projects as appropriate for cGMP compliance, efficiency, cost and performance.
- Collaborates with other departments to ensure all assigned responsibilities are completed timely.
- Assists with and carries out other departmental duties as deemed appropriate by manager to meet the goals, business objectives, and production plans.
- Maintain the company’s professional reputation and do not engage in rumors or gossip and demonstrate respect all individuals without regard to their position.
- Attend and participate in meetings as required.
- Encourages safety first in work practices via guidance from training sessions, Safety Data Sheets (SDSs), and other resources.
QUALIFICATIONS EDUCATION, WORK EXPERIENCE, CERTIFICATIONS :
- High School diploma or equivalent required. AAS in business preferred.
- Two (2) years of experience working in a public or private industry in the area of office management.
