What are the responsibilities and job description for the Fleet Administrator position at JCCA?
Job Summary:
Assist in the management and oversight of JCCA’s company vehicles. Will work in the Westchester Campus and be responsible for creating and maintaining systems that support the safe and efficient use of our fleet of vehicles. This includes setting up regular maintenance schedules, overseeing repairs and cleaning, configuring our booking system and other tools used to ensure that vehicles and drivers are operational.
Essential Job Functions:
Oversight of vehicle maintenance and repair
Ensure regular maintenance checks are performed on all vehicles (create and manage schedules, vendor coordination)
Manage repair work as needed (vendor coordination)
Manage regular vehicle cleaning (via vendor or intern program staffing)
Manage Internal Vehicle Booking System (Booker)
Configure and support booking system to allow for self-service operation (car sharing program)
Create reports for management to review (utilization, conflicts)
Manage Vehicle Monitoring System (Fleetmatics)
Configure and support system to monitor driver compliance with regulations (safe driving, etc.)
Create reports for management to review (speeding, unsafe driving, hours of operation, etc.)
Monitor dashboard for violations and escalate as needed
Process paperwork and billing related to vehicle management
Process all bills related to vehicle service and repair
Process all bills related to vehicle operation: moving/parking violations, ez-pass, licenses, registration, etc.
Ensure that all vehicle paperwork is up-to-date – registration, parking permits, etc.
Manage External Vehicle Booking System (TBD)
Configure and support booking system to allow for self-service operation (car hire program)
Create reports for management to review (utilization, conflicts)
Qualifications:
- High School Diploma required; Associate's Preferred
- Familiarity and working knowledge of vehicle maintenance, collision repair, systems, components and design
- Strong organizational skills with the ability to multi-task
- Excellent communication skills
- Proficiency in Microsoft Office (including Word, Outlook, Excel and PowerPoint)
- Experience with Fleet Management Software a plus.
- Experience creating tracking and management reports
- Must be able to handle sensitive and confidential information/situations.
- Must be authorized to work in the United States.
