Office Administrator

Core Responsibilities and Duties:

  • Perform general office duties such as filing, photocopying, and scanning documents
  • Greet and assist visitors, answer phone calls, and direct inquiries to the appropriate personnel
  • Manage the reception, showroom area, and kitchen area ensuring it is clean and organized
  • Assist with event planning and coordination
  • Update Salesforce with closed won opportunities
  • Order office supplies, business cards, and marketing supplies. Keep track of what office supplies are needed, and preorder as forecasted
  • Create presentations for clients and prospects
  • Collect and distribute mail and packages that are delivered to the office
  • Coordinate courier pick ups/drop offs for urgent shipments
  • Ensure our subcontractor paperwork is up to date (Ex. certificate of insurance, vendor agreements, etc)
  • Vendor bill approval, and uploading information into the system
  • Vendor bill filing in correlating files.
  • Request, and submit certificate of insurance on all new projects
  • Assisting the marketing department with administrative tasks (arranging photo shoots of client projects, salesforce maintenance, digital marketing)
  • General office IT support

Requirements:

  • Strong organizational skills with the ability to multitask and prioritize tasks effectively
  • Excellent communication skills, both verbal and written
  • Proficient in using office equipment such as computers, printers, and scanners
  • Detail-oriented with a high level of accuracy
  • Ability to work independently as well as part of a team
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook)

Job Type: Full-time

Pay: $28.00 - $32.00 per hour
