Office Administrator
Core Responsibilities and Duties:
- Perform general office duties such as filing, photocopying, and scanning documents
- Greet and assist visitors, answer phone calls, and direct inquiries to the appropriate personnel
- Manage the reception, showroom area, and kitchen area ensuring it is clean and organized
- Assist with event planning and coordination
- Update Salesforce with closed won opportunities
- Order office supplies, business cards, and marketing supplies. Keep track of what office supplies are needed, and preorder as forecasted
- Create presentations for clients and prospects
- Collect and distribute mail and packages that are delivered to the office
- Coordinate courier pick ups/drop offs for urgent shipments
- Ensure our subcontractor paperwork is up to date (Ex. certificate of insurance, vendor agreements, etc)
- Vendor bill approval, and uploading information into the system
- Vendor bill filing in correlating files.
- Request, and submit certificate of insurance on all new projects
- Assisting the marketing department with administrative tasks (arranging photo shoots of client projects, salesforce maintenance, digital marketing)
- General office IT support
Requirements:
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent communication skills, both verbal and written
- Proficient in using office equipment such as computers, printers, and scanners
- Detail-oriented with a high level of accuracy
- Ability to work independently as well as part of a team
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
