The Office Manager will organize and coordinate office administration and procedures to ensure organizational effectiveness, efficiency, and safety. In this salaried, exempt role, the Office Manager is responsible for developing and streamlining administrative procedures, inventory control, and identifying opportunities to improve company policies and objectives.
Responsibilities:
- Manage office operations and procedures
- Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
- Organize and schedule meetings and appointments
- Partner with HR to maintain office policies as necessary
- Payroll entry and coordination
- Manage and maintain office equipment
- Manage relationships with vendors, and service providers, ensuring that all items are invoiced and paid on time
- Provide general support to staff and visitors
- Participate actively in the planning and execution of company events
- Establish, monitor and maintain procedures for filing and record keeping
- Ensure security, integrity and confidentiality of data
- Handle customer inquiries and complaints
Requirements:
- Proven office management, administrative or assistant experience
- Construction administration background
- Preliminary mechanics liens and coordination
- Valid Driver License
- Familiarity with QuickBooks
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Proficient in MS Office
- Knowledge of clerical practices and procedures
- Computer skills and knowledge of office software packages
- Ability to work independently with little or no supervision
- Must be comfortable working in a fast-paced environment while managing a diverse range of people and personalities
- Ability to express confidence and assertiveness while holding teammates and management accountable for communication, tasks and procedures
