Position Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Office Manager. The ideal candidate will be responsible for overseeing various administrative tasks crucial to the smooth functioning of our office. This role requires proficiency in accounts payable (AP), accounts receivable (AR), excellent customer service skills, invoicing expertise, and the ability to manage incoming mail efficiently.
Key Responsibilities:
Accounts Payable (AP):
Process and manage all incoming invoices promptly and accurately.
Reconcile vendor statements, ensuring timely payments and resolving discrepancies.
Maintain organized records of all financial transactions related to accounts payable.
Accounts Receivable (AR):
Generate and send customer invoices in a timely manner.
Monitor and follow up on outstanding receivables, ensuring timely collection.
Reconcile customer accounts and resolve any billing discrepancies.
Customer Service:
Serve as the primary point of contact for customer inquiries and concerns.
Address customer issues with professionalism and a customer-centric approach.
Build and maintain positive relationships with clients through effective communication.
Invoicing:
Create and distribute accurate and timely invoices to clients.
Ensure compliance with invoicing policies and procedures.
Collaborate with other departments to gather necessary information for invoicing.
Mail Management:
Efficiently manage incoming mail, including sorting, distribution, and timely response.
Prioritize and handle mail items related to financial transactions and correspondence.
Collaborate with relevant departments to address any mail-related matters.
Qualifications:
Proven experience as an Office Manager or in a similar administrative role.
Strong proficiency in accounts payable and receivable processes.
Excellent customer service and interpersonal skills.
Detail-oriented with a high level of accuracy in financial record-keeping.
Proficient in using accounting software and office management tools.
Strong organizational and multitasking abilities.
Effective communication skills, both written and verbal.
Ability to work independently and collaboratively within a team.
Education and Experience:
Bachelor's degree in Business Administration, Accounting, or a related field preferred.
Proven experience in office management, accounting, and customer service roles.
