We are currently seeking an experienced and highly skilled Office Manager. The ideal candidate will be a dynamic, organized, and reliable professional capable of managing daily operations, overseeing administrative staff, and ensuring that our office runs smoothly and efficiently. This role is integral to our company's success, as the Office Manager will be responsible for a variety of tasks, including managing timekeeping and quality control applications, producing account budget reports, maintaining office supply inventory, performing accounting duties, and developing training materials.
Responsibilities:
As an Office Manager, your responsibilities will include but are not limited to:
1. Managing Time Keeping application by monitoring punches and ensuring only approved cell phone usage occurs.
2. Managing Quality Control application by editing users and customers as needed.
3. Answering and directing calls.
4. Producing account budget reports (budgeted vs. actual) at the beginning of each month and providing them to the appropriate Operations Manager.
5. Managing all Google Doc forms by continually updating them weekly.
6. Designing and maintaining filing and office storage systems.
7. Maintaining office supply inventory including checks, toner, postage, etc.
8. Performing accounting duties including invoicing, record deposits, transaction recording, etc.
9. Developing training materials and performance management programs.
10. Maintaining office staff job results by coaching, counseling, and disciplining employees, and planning, monitoring, and appraising job results.
11. Coordinating and generating payroll.
12. Assisting company marketing programs.
13. Managing employee onboarding and offboarding including training managers.
14. Managing Safety Training for employees.
15. Ordering warehouse and customer product supplies as needed.
16. Managing internal sales of project work.
Qualifications:
The ideal candidate for the role of Office Manager should possess the following qualifications:
1. A minimum of 3 years of experience in office management.
2. Strong organizational and time management skills.
3. Excellent verbal and written communication skills.
4. Proficiency in Microsoft Office Suite and Google Docs.
5. Experience with timekeeping and quality control applications.
6. Ability to multitask and prioritize tasks effectively.
7. Strong leadership skills with a dedication to driving and achieving results.
8. Knowledge of basic accounting procedures, including invoicing and budgeting.
9. Experience with employee training and performance management programs.
10. Ability to handle confidential information with discretion.
11. Knowledge of safety training procedures and employee onboarding and offboarding processes.
