Job Details

Responsibilities:

  • Serve as the primary point of contact for all incoming calls, ensuring they are directed to the appropriate party in a timely and professional manner.
  • Provide administrative support to the accounting department, including data entry, invoice processing, and other related tasks.
  • Manage and coordinate direct mail campaigns, including preparing, packaging, and shipping via FedEx.
  • Maintain organized and up-to-date filing systems, ensuring all documents are easily accessible.
  • Schedule and coordinate meetings, including booking conference rooms, arranging refreshments, and sending out calendar invitations.
  • Oversee the ordering of office supplies, ensuring the office is always fully stocked.
  • Maintain the cleanliness and organization of the office and kitchen areas, including restocking supplies as necessary.
  • Perform other administrative duties as assigned.

Qualifications:

  • Minimum of 2 years of office experience, preferably within the construction industry.
  • Bachelor’s degree in a related field.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and Outlook.
  • Experience with Sage 300 is a plus, but not a requirement.
  • Bilingual in Spanish is highly desirable.
  • Exceptional communication and interpersonal skills.
  • Ability to manage a multi-line phone system and handle multiple tasks simultaneously.
  • Strong organizational skills with a keen eye for detail.
  • Proactive and able to work independently with minimal supervision.
  • Must be able to maintain confidentiality and handle sensitive information with discretion.
  • Ability to thrive in a fast-paced, dynamic environment.
