Coordinates all phases of creative, production, manufacturing, and distribution of the client’s direct mail product while ensuring adherence to the specifications supplied to the Company by the client.
Assures the financial and procedural efficiencies for all projects managed.
Provides support to ongoing projects and serves as main production contact on one-time projects and low-medium complex jobs.
Enters job specifications in the Monarch information system, completes job tickets, and creates / updates spreadsheets for each accounts project.
Oversees project production and conducts quality checks as per the Quality Checklist.
Works closely with the sales team to gather necessary information for client meetings, preflight sessions, approvals, and presentations.
Communicates schedules, instructions, or specification changes clearly to internal and external clients and understands and can explain their ramifications.
Understands / interprets estimates, requests for quotes and sales proposals to assure that project production and project financial plan remain profitable.
Keeps an accurate record of the amount of time put forth into each project, analyzes and compares to estimates, and tracks trends to provide scheduling and estimating data aiding in their processes.
Generates accurate and timely invoices for projects, ensuring all billable charges are included, and recommends strategies for improving invoicing efficiency.
Recognizes concerns and problems and escalates them in a timely and professional manner.
Adheres to all Security Policies and Procedures as referenced in the Employee Security Handbook.
Requirements :
Minimum of 3 years of direct mail marketing experience.
Knowledge of direct mailing requirements for different items (envelopes, postcards, etc.), rates, metering, shipping options for delivery (first-class, comingle, direct).
Experience with client data used for direct mailing campaigns.
Experience verifying destination of data sets to ensure mailing goals are met as the data moves to IT for production.
Intermediate Microsoft Office 365, including Excel (specifically Pivot Tables), Teams, Word, and Outlook.
Strong project management, multitasking, and attention to detail skills.
Effective communication and customer service abilities; proficient oral and written communication skills.
Records management / document control experience desired (paper and electronic).
