PRINCIPAL ACCOUNTABILITIES:
As a member of the Corporate Office team, the Loss Prevention Administrative Assistant is responsible for completing daily Loss Prevention tasks and assisting Loss Prevention Lead with any requests. Along with the tasks designated for this position, cross-training on other positions within the Loss Prevention department will be expected to ensure the Loss Prevention Administrative Assistant is able to assist in other areas, if needed.
Daily Tasks:
Loss Prevention:
- Track refunds and follow up with restaurant personnel
- Track petty cash purchases per store
- Review cash over/short report, escalate large shortages
- Dispute and track credit card chargebacks
- Camera surveillance audits as needed
- Prepare prompt and complete reports relative to all theft incidents
- Identify safety related issues within restaurants
- Invoice Disputing
- Review undeposited funds report and escalate any missing deposits
- Review discount, and refund reports
- Review large bill transactions
- Monitor several email's
- Lineage reporting
- Assist with office tasks as needed
- Assist with other finance office tasks as needed
- Assist Loss Prevention Lead with any theft, or store level audits
- Assist with claims incidents
Delivery:
- Ensure Delivery accounts are set up for new locations
- Ensure Delivery accounts remain online (Review the Otter account)
Credit Cards:
- Order credit card processing units for new locations and replacements for existing locations
- Dispute and track credit card chargebacks
Weekly Tasks:
- Licenses and Permits
- Construction invoices
Monthly Task:
- BKC/JanCo/3rd Party Rent spreadsheet
- Sales sent to BKC on 1st of the month
Annual/As Needed Tasks:
- Vehicle Registrations
- Seasonal Contracts
- Fundraiser Report
- Review of first aid kit submissions
Reporting:
- Maintain detailed reports for over rings, petty cash, credit card chargebacks, and bun inventory
- Report any violations from camera surveillance audits to Loss Prevention Lead
Requirements
REQUIRED KNOWLEDGE, SKILLS, AND EXPERIENCE:
- Proficiency in Microsoft Word and Excel
- Strong organizational skills
- Excellent verbal and written communication skills
- The ability to work with minimal direction
- Resourceful and independent in solving problems
- Acute attention to detail
- Willingness to work hard with a positive attitude
EMPLOYMENT DETAILS: This position is a part time hybrid position, one day working in the office per week is required. The hours are 8am-2pm, weekdays. Additional hours including weekends may be required based on Company needs and/or new projects.
*Paid 2 week on site training upon acceptance of employment will be required.
