The Human Resources Assistant will perform administrative tasks and services to support effective and efficient operations of the Human Resources department.
Under the general supervision of the Senior HR Manager, this position supports the functions of human resource department. Incumbent is responsible for supporting activities of all members of the HR Department.
Support the review, understanding and compliance of all programs, policies and procedures contained in the Food Safety and Quality Management System. Understand that I am responsible for reporting food safety issues observed so appropriate action can be taken. Actively participate and support the 5S and MES initiatives.
DUTIES AND RESPONSIBILITIES
- Answers phone and greets employees entering HR office. Answers frequently asked questions from employees relative to standard policies, benefits, hiring processes, etc.; refers more complex questions to appropriate senior-level HR staff or management.
- Assists the HR Generalist – Recruitment, Retention and Onboarding to include reviewing applications, applying ranks to applications and completing prescreening of applicants, answering basic questions. Researches and summarizes internal postings with pertinent information about candidates and sends them to the hiring manager and HR Generalist. Sends out correspondence regarding internal postings (i.e. rejection letters).
- Assist HR Generalist – Employee Communication and Training by tracking training hours via ETP Rosters and entering data as necessary.
- Assist HR Generalists with New Hire Orientation to include ordering lunch for attendees, creating New Hire Orientation binders, and other assigned tasks associated with NHO.
- Maintains accurate and up-to-date human resource files, records, and documentation. Organizes and files employee personnel records following record retention guidelines. Maintains current office filing system and archived files.
- Update employee communications including posting boards, halls, walls and stalls, and flyers as requested.
- Prepares and distributes birthday cards, anniversary notices, and administers Employee of the Month & Supervisor of the Quarter program. Creates New Hire posters, including a picture of the new employees and a brief description of the job they were hired for.
- Maintain office atmosphere by displaying seasonal decor
- Procures, distributes and tracks gift cards and updates gift card inventory on a monthly basis or as needed or requested by management.
- Sorts and distributes checks to Supervisors.
- Prepares periodic reports, including the HR monthly report.
- Maintain data entry process for employee sick calls and other processes as needed.
- Research, order, update and distribute all Federal and State Posters for KIUS and each individual on the Sales Team (different states). Fill out and post Federal and State Labor and Wage Posters.
- Provides clerical support to the HR department.

Education Level and Focus:
High School Diploma or equivalent required. Focus on Human Resources preferred. Word and excel training preferred.
Years and Type of Related Experience Required:
Prior related office experience required. 2 years related human resources experience preferred.

Understand laws and procedures relative to personnel, accurate, strong organization and prioritizations skills. Math, reading and writing skills, computer skills. Proficient with or the ability to quickly learn human resource information system (HRIS), and similar computer applications.
Administrative and Operations:
Ability to perform multiple tasks, work under deadlines, prioritize and manage time use good judgment. Bilingual preferred
Physical Demands:
Heavy use of computer, sitting for long periods, occasional lifting up to 30 lbs.

Office environment with many distractions and moderate to high noise levels
