JOB DESCRIPTION
PROJECT MANAGEMENT ASSISTANT (PMA)
PMA Primary Function:
To assist in organizing and facilitating communications and administrative functions of a major project or multiple projects; to assist in meeting project goals and/or objectives of on time, within budget, and satisfactory completion.
Duties and Responsibilities:
Set up job estimate (original bid or budget), subcontracts, and major sales agreements in accounting/project management software program; Prepare pre-construction meeting packets;
Assist project managers (PM) with jobsite set up.
Assist with change order management including subcontracts;
Ensure timely and accurate job cost accounting information, including billings, change orders, cash receipts, retainage draws, purchase orders, vendor invoices to be paid, expense reports and timesheets; Manage subcontract accounting including change orders, retainage draws, estimates for payment, and compliance.
Prepare reports related to project activities including accounts payable request for payment (cash outflows) to vendors and subcontractors, and subcontractor payment lien waivers.
Organize and maintain project document control that is current, complete, and easily accessible;
Responsible for one or more specific accounting functional area including reports, analysis, check writing (if applicable), month end, quarter end, year end, reconciliations and audit activities.
Perform any work or task deemed necessary by management for the operation of the business.
Skills, Knowledge, Qualifications and Education Required:
- Educational requirement: High School Diploma or equivalent
- Proficiency in communication and interpersonal skills
- Ability to prioritize tasks and meet deadlines
- Attention to detail and accuracy
- Ability to organize and work independently, as well as contribute as part of a team
- Skilled at composing and/or editing letters, memos, reports and procedures
- Capacity to learn quickly
- Pleasant telephone and e-mail personality
- Good ethical conduct; Understanding right from wrong
- Knowledge and competency in use of excel, word, outlook and windows
- Viewpoint Accounting Software experience desired
- Heavy Highway Construction experience desired
- Project Management experience desired
Job Type: Full-time
Pay: From $38,000.00 per year
