Kendall Capital is a rapidly growing independent, fee-only advisory firm offering planning and investment services for middle-class millionaires. While we are located in Rockville, MD,, we have clients all over the Washington, DC area and across the nation. Our knowledgeable, experienced professionals work with individuals and families to deliver customized solutions to financial challenges. We focus on understanding the client’s needs first and then help them meet their particular goals by analyzing their financial plans and designing a custom investment mix catered to their unique financial situation.
The Office Manager/Receptionist should be of high moral and ethical character. He/she is extremely detail oriented, organized, and customer service oriented. He/she has the ability to easily learn new skills, manage multiple tasks concurrently and is able to work independently. Our office is open and this position is for full time, in-office attendance to work with 7 other adults who have their own offices and thus are able to be socially distant.
The Office Manager/Receptionist should possess thorough knowledge of Microsoft Word, Power Point, and have very strong Excel skills. The successful candidate has already worked directly within a professional environment and is willing to take on more responsibilities over time. He/she will be the first point of contact for the firm which will include answering phones and greeting clients at the office. Duties will also include: monitoring and ordering office supplies, managing relationships with office service providers, and assisting existing staff with daily functions. Examples include supporting our portfolio managers with daily trade activities on Excel, supporting our marketing department with presentation materials and our financial planners with processing client account forms. Strong Exel, Word, Powerpoint and Adobe Acrobat skills are a must.
Duties could also include gathering data, generating forms, reports, and presentation materials as well as communicating with clients on a regular basis. The ideal candidate will be a highly motivated individual who possesses excellent written and verbal communication skills and can work independently as well as in a team atmosphere.
The Office Manager/Receptionist is expected to be an integral part of Kendall Capital’s future success and should enjoy a hard-working, but collegial small business environment where we all pitch in and work together to grow as a firm.
Duties and Responsibilities
The Office Manager/Receptionist will work within a team environment to understand client needs and maintain high service standards while increasing the efficiency of our firm. Duties include but not limited to:
1. Maintaining comprehensive and accurate corporate records, documents and reports including vendor files.
2. Organizing in-office client meetings, including scheduling, sending reminders and organizing catering when necessary
3. Answering incoming phone calls in a polite and professional manner and accurately forwarding calls to the intended person within the firm or taking messages as needed.
4. Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate office
5. Managing outgoing and inbound mail to include proof-reading and scanning documents for our paper-less office.
6. Provide daily administrative support to portfolio managers, financial planners, compliance manager and marketing director.
Qualifications
The Office Manager/Receptionist position requires the following qualifications:
- Integrity, honesty and the highest ethical standard in every aspect of individual’s personal and professional life
- Be genuinely interested and passionate for helping people manage and grow their wealth
- Have excellent written and verbal communication skills
- A bachelor’s degree
- Minimum three years of administrative assistant experience to include office management responsibilities and customer service. Financial services industry knowledge a plus.
- Proficiency in Microsoft Office Suite and working knowledge of Adobe Acrobat.
- Organized, detail-oriented, able to multi-task
- Client-first attitude with compassion to help others
- Team player, collaborative, able to work with others
- Adaptability to work successfully in a small company environment
- Must be willing to work full time and physically in the office.
