POSITION SUMMARY
This position is responsible for both supporting the operational processes within KHM Travel Group and acting as Receptionist as the first face our guests and team will see each day. Good organization, communication, and time management skills are vital to this role.
Areas of Focus
This position works alongside other team members to assist our internal team with creating new processes, using new technology, and enhancing existing processes.
You will also coordinate front-desk activities, including distributing mail and redirecting phone calls.
We are looking for an experienced and highly motivated Operations Associate to join our team. This is a position with plenty of opportunity for growth and success. We're looking for a committed individual to help manage our supply chain, customer service and marketing operations as well as help manage company policies, procedures and business development initiatives. It's a fast-paced environment that requires flexibility, problem solving, and a commitment to teamwork. The ideal candidate will have prior experience in operations management, enjoy working in a dynamic environment, and have strong customer service skills.
RESPONSIBILITIES PRODUCING RESULTS
- Construct and distribute meeting notes as requested.
- Present solutions for discussion and approval to aid team members on new procedures.
- Identify the need for interdepartmental communication and foster those conversations.
- Identify areas of improvement within KHM Travel and step into those areas to think through and create processes, then train and hand off to the appropriate team/department.
- Serve the company by managing single projects as needed.
- Serve as a member of the SOP Team to help KHM Travel team members create and document processes used to complete their jobs efficiently and train new team members.
- Assist other departments with basic data entry or clerical duties including forwarding emails to travel agents as needed.
- Meet with manager weekly to monitor and evaluate task list, performance, and obtainment of quarterly goals.
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
- Greet and welcome guests as soon as they arrive at the office
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor visitor logbook, issue visitor badges)
- Alert team members when their Mail and Packages arrive, sign for FedEx and UPS
- Forward mail intended for our IC’s to their business addresses
- Ensure Kitchen area is clean, clean coffee pots, run and empty dishwasher each workday
- Manage our contracts with Iron Mountain, Forest City Coffee
- Order front office and keep inventory of stock
- Maintain a CPR, AED and Basic First Aid Certification (if you are not certified already, we will cover the cost of your certification)
- Assist with the Monthly Company Meeting coordination and Catering Orders
- Other duties as assigned to meet the needs of KHM Travel Group.
QUALIFICATIONS REQUIRED
- Extensive Knowledge of Microsoft Office programs
(Outlook, Word and Excel experience a must).
- High School diploma a must, College is a plus.
- Experience following written procedures.
- Ability to manage stress and deal with challenges in a positive, customer service-focused
manner.
- Excellent written and verbal communication skills.
- Ability to work without close supervision, responds to management direction, takes responsibility for projects.
- Must demonstrate the ability to work with and accept feedback from team members, managers, directors and executives on a regular basis.
- Must possess excellent time-management skills, the ability to pay close attention to detail and the ability to work under pressure in a fast-paced, deadline-driven creative environment.
- Must possess ability to handle, organize, and communicate status of multiple projects at different stages of completion.
- Must use problem-solving skills to keep projects moving forward on a timely basis.
- Must possess the ability to work well independently and as part of a team.
- Must be highly motivated and driven to overcome challenges while positively motivating and providing direction to other members of project teams.
- Must possess and seek to continually deliver exceptional internal and external customer service.
- 3-5 years of work experience, especially in a deadline-driven environment.
