The Benefits Analyst I is responsible for supporting the day-to-day administration of the Company’s multi-state benefit programs. The Benefits Analyst I assists with planning and supports recommendations for changes in the programs to ensure the organization maintains its objectives and stays competitive in the marketplace. The Benefits Analyst I is responsible for helping support current and understanding relevant laws and regulations ensuring the Company is compliant. Additional responsibilities include assisting with ongoing data audits/analysis, reporting, and providing accurate and timely benefit plan data to benefit vendors.

ESSENTIAL FUNCTIONS: (The reason this job exists is to perform these functions. These functions are performed regularly, seriously impacts other jobs, and there are a limited number of employees to whom performance of the function can be distributed).

Ensure customer service, support and education regarding employee benefits is prompt, friendly and reliable

  • Provide high level of customer service, support and error resolution to questions, issues and/or complex problems
  • Assist and conduct new hire benefits orientation
  • May conduct employee meetings and education sessions; as well as the preparation of educational materials
  • Assist in developing various employee benefit communications

Support the administration of all employee benefits programs

  • Support the administration of all company benefits programs (medical, dental, vision plans, short and long-term disability, 401(k), group life & AD&D Insurance, life assistance program, COBRA, and all voluntary benefit offerings)
  • Ensure all benefit plan information is accurate, current and available in written and online formats
  • Ensure timely and accurate processing of enrollments, life status changes, terminations, and/or beneficiary information
  • Support the management of processes for 401(k) Pre-Tax and Roth contributions rollovers, distributions, and loans
  • Ensure compliance for all benefits plans and programs

Support the administration of leave programs, COVID, and Workers’ Compensation in accordance with applicable federal, state, and local laws

(FMLA, CFRA, WLAD, USERRA, etc.)

  • Partnering with the Director of Human Resources and the Sr. Benefits Analyst

o Case manage and coordinate administrative aspects of cases and claims

o Approve or deny based on relevant medical information

o Implement and follow best practices regarding the return to work process

  • Coordinate and organize all medical information ensuring HIPPA guidelines effectively executed
  • Report all required claims to state Workers’ Compensation organizations within required timeframes

Ensure company compliance with federal, state and local laws related to benefits

  • Maintain and retain employee benefit files, COVID Proof of Vaccination and plan documents ensuring preservation and accessibility of historical records
  • Support the coordination of annual compliance testing, audits and filings with auditors, consultants, and internal partners
  • Support in the completion of compliance related activities, including non-discrimination testing, SPDs, SMMs, 5500s, 1095c etc.

Safety Program

  • Attend Monthly Safety Program Meetings
  • Support compliance of safety program including execution
  • Assist in ensuring OSHA requirements are implemented and followed in all locations (Form 300A, quarterly safety meetings, etc.)

Run and analyze reports related to benefits and payroll (occasionally)

  • Track benefit plan utilization and trends to provide plan insight as requested
  • Create and monitor the data files transferred from the company’s system to third party administrators; ensure data integrity and accuracy
  • Research and resolve data discrepancies between the company’s records and data maintained by third party administrators
  • Assist with ad hoc benefits plan utilization and group insurance project analysis as needed; assess requirements; extract data from various sources; research trends; prepare reports for management review as requested

Reconcile and pay benefits bills ensuring accuracy and timeliness

  • Track and maintain various billing records and reconcile for payment
  • Submit and code monthly carrier bills and invoices in PN3
  • Ensure funding requirements are completed on a timely basis

Support Open Enrollment process

  • Assist in the coordination of annual benefits renewal activities and implementation of new benefits plans and programs
  • Provide education through formal meetings, one on ones and via phone

Administer HRIS for Benefits

  • Support the Benefits Enrollment System and participate in the evaluation of new benefits systems and/or integration with current systems
  • Assist in the effort to ensure enrollment processes up to date and correct within eligibility parameters
  • Support updating plans and plan data in HRIS whenever updates are required
  • Ensure benefit data related to Payroll is accurate and feeds to employee paychecks correctly
  • Document benefits administration practices and procedures focusing on process improvements
  • Update and maintain user procedures, guidelines, and documentation

ESSENTIAL QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION: Bachelor’s Degree or equivalent combination of experience and instruction. PHR, SPHR, SHRM-CP, SHRM-SCP or CEBS strongly desired

EXPERIENCE REQUIRED: 3 years’ experience in a benefits administrator or analyst role or similar relevant experience

REQUIRED KNOWLEDGE:

  • Strong customer service and client interfacing skills
  • Demonstrated skill in developing reports and documenting processes and procedures
  • Intermediate knowledge of benefits plans, practices, trends and systems setup
  • Intermediate knowledge of human resources, related state and federal laws and regulations, benefits program development and design, plan administration, Section 125 regulations, COBRA, FMLA, HIPAA, IRS, GINA, FLSA regulations, variable pay plans, etc.
  • Prior knowledge of Payroll/HRIS systems. Advanced Excel and Word skills

  • Strong computer skills (MS Office Suite, HRIS, etc.)
  • Willingness and ability to learn new software through education when required and demonstration of professional development
  • Demonstrated ability to prioritize, multi-task and utilize resources to execute tasks within a deadline-oriented environment
  • Ability to speak, write and understand English
