KIPP Delta is part of the nation-wide KIPP non-profit network of 242 college-preparatory, public charter schools educating early childhood, elementary, middle, and high school students. We are excited that KIPP Delta will serve over 1,200 students in Helena and Blytheville, AR in the 2024-2025 school year.
Job Description
The Operations Coordinator is managing by the Director of Operations. The responsibilities include but are not limited to:
Communication
- Communicate respectfully and thoughtfully with parent, guardians, and staff remaining sensitive to different cultures, values and needs. Work with the school leadership teams to implement KIPP Delta’s mission; coordinate work and collaborate with other colleagues across the KIPP Delta region.
- Assist in creating a school culture with staff, parents and students focused on strong academic achievement, fairness, respect and high expectations for behavior.
- Ensure staff members understand the procedures and have the resources to operate effectively.
Administrative Support
- Ensures that the main office is neat, organized, welcoming and has all important parent facing materials
- Ensure that the front desk is attended and or proper notice is provided when the space will be empty
- Manage inbound and outbound calls; create internal announcements
- Write bus passes as needed for students when parents or guardians calls to make changes
- Receive, distribute, and prepare incoming/outgoing mail & shipments
- Manage expectations of parents and visitors by scheduling appointments with members of leadership when necessary
- Answer phones; redirect inquiries as appropriate & relay messages to staff in timely manner
- Respond to and support site-level staff questions and concerns as appropriate
- Assist in the planning and coordination of student and staff travel and events
- Assist in the processing, production, and distribution of memos, newsletters, etc.
- Assist in the scheduling of monthly safety drills, inspections, and trainings
- Complete special projects as assigned to aid in the improvement of school operations
- Maintain the supply of uniforms and distribute to families when a request to purchase is made
- Maintain office supplies and process supply orders and pass along requests
- Maintain office equipment; ensure that copier machines, fax, and postage meter are in working order
- Maintain teacher work room
Health and Safety
- Ensure Visitor and Volunteer Policy is followed and all visitors are screened before entry
- Attend first aid and CPR training and respond as needed
- Ensure school signage is appropriate and up-to-date and all entrances and exits remain secure
Data Entry and Management
- Enter-in and maintain the following student data within KIPP Delta’s systems: application and registration forms, parent contact and health information, and student behavioral reports
- Maintain accurate student attendance records on a daily basis and track trends over time for state and internal reporting purposes
- Process late arrivals and follow-up with the families of absent students
- Ensure student records are up to date and that record requests, student transfers, or student withdrawals are processed in a timely manner
- Send Triand request when new students are enrolled
- Print, staple, and distribute Liveschool paychecks, Interim Progress Report (IPRs), and other weekly announcements
- Reprint IPR, report card, and transcripts for current students and students that have graduated
Finance Support
- Accept payments from students and families and provide receipts
- Complete bank deposits, petty cash, and credit card reconciliations
- Accept mail orders
- Scan in invoices
- Place approved Avid orders
- Submit POs for supplies/technology request
- Liaison with the regional finance department to coordinate prepaid cards, check requests, and other payments
Student Recruitment
- Process applications in our student recruitment system and provide the KIPP Delta teams with updates and requested information for new students
- Create physical folders for all new students
- Assist in the scheduling of Commitment to Excellent (CTE) meetings
- Make calls as needed to applicants that are still in the offer status
- Support student recruitment activities
Qualifications
- 1-2 years experience in operations, maintenance, and administration, preferably in a school setting
- Associate Degree preferred
- Eschool experience preferred
- First Aid Certification
- Proficiency in Microsoft Excel, Project, Word, and Outlook
- Excellent project management, organizational, and customer service skills
- Demonstrated ability to build relationships across teams
- Comfort with a broad range of technology hardware and software preferred
- Demonstrated ability to work in a fast-paced, high energy environment with a proven ability to meet and complete multiple deadlines and tasks
- Results-oriented, hands-on team player who is dedicated to getting the job done
