The Opportunity

We are seeking a talented Bilingual Executive Assistant / Office Manager (Japanese/English) to join our Honolulu team. In this role, you will manage the CEO's daily activities and serve as a key liaison between staff, the executive team, and external partners. You will also act as the CEO's spokesperson in their absence. As Office Manager, you will be responsible for setting the tone and maintaining the look and ambiance of our Honolulu office. Your role will involve providing high-level administrative support and developing organizational systems to ensure the office operates smoothly and efficiently.

Responsibilities

Executive Support

  • Support the CEO and executives with a range of administrative tasks
  • Schedule and organize the CEO's meetings, travel, and appointments
  • Attend meetings, record proceedings, manage documentation, and track action items
  • Handle executive correspondence in Japanese and English, including translations to other languages as needed
  • Utilize GSuite, Word, PowerPoint, and Excel effectively to manage documents, presentations, and reports
  • Review and process expense reports and financial documents for executives
  • Act as a contact point between the CEO and external parties
  • Manage sensitive matters with the utmost discretion and professionalism

Office Support

  • Supervise and coordinate daily office operations and activities
  • Develop and enforce office procedures and policies in collaboration with HR
  • Improve systems and processes to enhance office productivity
  • Ensure the office environment is clean and functional, including keeping the kitchen and supply areas stocked and in order. Coordinate with IT to maintain and troubleshoot office equipment
  • Assist with hiring, onboarding, and training new staff
  • Coordinate with building management for maintenance and issue resolution
  • Plan and support office events, including retreats and meetings
  • Handle guest reception, manage the company mailbox, and screen phone calls
  • Maintain and organize office files and systems
  • Contribute to special projects and perform additional duties as needed


Requirements

  • Fluent in spoken and written English with business level Japanese, spoken and written
  • 5 years in an administrative support position or relevant work experience
  • Ability to work independently on difficult projects with minimal supervision
  • Excellent project management skills and attention to detail
  • Ability to maintain discretion when handling confidential information
  • Ability to multitask with ease and prioritize work as needed
  • Ability to problem solve with creativity and good judgment
