Executive Assitant to CEO – Award-Winning Interior Design Firm
Are you our Executive Assistant unicorn – someone that can do it all…with a smile? As the Executive Assistant to the CEO of a luxury residential interior design company, you will play a crucial role in supporting the CEO in various administrative, organizational, and strategic tasks. This role offers an exciting opportunity to work closely with the CEO and contribute to the success of Krista Home through effective administrative support and project coordination. Representing Krista Home involves effectively communicating its brand, values, expertise, and offerings to various stakeholders, including clients, vendors, industry partners, and the public. The Assistant will provide comprehensive administrative support to the CEO, facilitate effective communication within the organization, assist in managing projects and initiatives to drive business success and assist with new client acquisition and onboarding.
RESPONSIBILITIES:
ADMINISTRATIVE SUPPORT:
- Manage the CEO's calendar, schedule appointments, and coordinate meetings, conferences, and travel arrangements.
- Screen and prioritize incoming emails, calls, and correspondence for the CEO's attention including customer leads, potential clients, and current clients.
- Prepare and edit correspondence, presentations, reports, and other documents as needed.
- Anticipate the CEO's needs and proactively address them to optimize workflow and time management.
COMMUNICATION AND COORDINATION:
- Serve as a primary point of contact for internal and external stakeholders, including clients, vendors, and team members.
- Engage in sales communications and new client onboarding, including initial intake calls, data entry, and prospect tracking.
- Facilitate communication between the CEO and other departments within the organization, ensuring timely and accurate dissemination of information.
- Coordinate and follow up on action items and tasks assigned by the CEO to ensure timely completion.
- Assist in the human resources function including job posts, recruitment and hiring.
- Act as KH brand ambassador demonstrating deep understanding of the company’s brand identity, culture and design philosophy embodying these values in interactions with clients and partners.
- Assist in building and maintaining strong relationships with clients by actively listening to their needs, providing tailored solutions and delivering exceptional service.
PROJECT MANAGEMENT:
- Assist in managing special projects, initiatives, and strategic planning efforts as directed by the CEO.
- Conduct research, gather data, and prepare reports or presentations to support decision-making and project execution.
- Track project milestones, deadlines, and deliverables, and provide regular updates to the CEO on project progress.
- Assist CEO at design installations with professional styling and project completion.
REQUIREMENTS:
- Proven experience as an executive assistant or administrative assistant, preferably supporting C-level executives.
- Bachelor's degree in Business Administration, Communications, or related field preferred.
- Excellent communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
- Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools such as Hubspot, Asana, and Slack. Design Manager and Houzz Pro a plus.
- Discretion and integrity in handling confidential information and sensitive matters.
- Flexibility and adaptability to changing priorities and fast-paced environments.
- Experience in the interior design industry or related field is a plus.
Job Type: Full-time
Pay: $50,000.00 - $70,000.00 per year
