Kūlia Academy is a new school set to open its doors to 100 students August 2024 and expected to grow each year until 2031 when it will serve 700 students. Kūlia Academy focuses on artificial intelligence and data science. It is the first in the U.S. to offer a six-year program in these subjects. Students will spend 80% of their time in science classes doing experiments and investigations. The school believes that these skills are important for future jobs, and they want to help students prepare for them.
About the Position
Kūlia Academy is seeking a highly organized and detail-oriented individual to join our team as an Office Assistant. In this critical role, you will be responsible for maintaining accurate and up-to-date student records, supporting the registration process, and ensuring smooth communication between the school and students, families, and external agencies.
Skills and Qualifications
- Associate's degree or Bachelor's degree in education, related field, or relevant experience.
- Up-to-date knowledge of computer technology and proficiency in Student Information Systems (SIS), preferably Infinite Campus.
- Strong ability to interpret and apply policies, procedures, and data.
- Excellent organizational, communication, public relations, and interpersonal skills.
- Minimum of one year of experience in an educational setting, preferably at the secondary level.
- Strong organizational and coordination skills, with the ability to manage multiple tasks effectively.
- Strong self-starter with the ability to work independently and manage time effectively.
- Excellent interpersonal skills, conflict management skills, problem-solving skills, and demonstrated leadership abilities.
- Excellent verbal and written communication skills with the ability to communicate clearly and concisely with parents, students, faculty, and administrators.
- Resourceful in generating creative solutions to problems.
Responsibilities and Duties
- Student Records and Reporting:
- Maintain accurate and up-to-date student files, including transcripts, cumulative records, and other pertinent information.
- Process student mailings and generate reports as requested.
- Maintain accurate and up-to-date data in the Student Information System (SIS) for new, current, and withdrawn students.
- Update course description books for secondary grades.
- Manage student transfers by requesting records from previous schools, forwarding records to new schools, and ensuring a smooth transition.
- Track, verify, and report on student progress towards graduation.
- Prepare end-of-year and annual student count reports for state reporting.
- Generate student transcripts and cumulative records.
- Prepare class rosters for each teacher and course.
- Circulate student withdrawal forms and follow up with teachers for final grades.
- Registration and Scheduling:
- Create and manage registration applications and forms.
- Assist families with registration instructions and deadlines.
- Enroll students in the SIS.
- Verify student immunizations and request records from previous schools
- Create student files and assign access for staff and teachers to the SIS.
- Develop and manage the master schedule, including courses, schedules, and bell schedules.
- Create student schedules in the SIS.
- Provide student and family access to the SIS.
- Communication and Support:
- Support student recruitment in conjunction with the office staff and administrators.
- Support teachers in entering and posting student grades in the SIS.
- Produce and post report cards and progress reports for all students.
- Conduct schedule changes for all students and teachers under the guidance of the school principal and administrators.
- Attend administrative meetings as requested.
- Assist in the development of the master schedule.
- Compose and send family and community newsletters
- Answer questions and address concerns from current and prospective families.
- Handle all student mailing.
- Business Support
- Input expenses and deposits into Quickbooks
Salary and Benefits
- Hourly Wage: $20 per hour

Please note: This is a part-time position transitioning to full-time on July 1, 2024. Benefits eligibility and salary will change accordingly.
