JOB SUMMARY:
Retail Leasing Manager is responsible for working with the commercial operations team, in maintaining the regional portfolio and ensure occupancy rate is always on the rise. It is their responsibility to assist with filling vacancies within the company's commercial office and retail portfolio as spaces become available. One must be well versed in multiple lease concepts, be up-to-speed with on-line marketing and maintain positive business relationships with both private and public office tenants and brokerage firms in order to negotiate and close deals. The Retail Leasing Manager's, main responsibilities are to handle all incoming term sheets, negotiations and be proactive to source new tenants and establish relationships with existing tenants. Should be familiar with the brokerage community and have ability to contract Agency Agreements where necessary. Strong communication and management skills are necessary to see a tenant through acquisition, management, renewal, and coordination with various departments.
RESPONSIBILITIES:
Leasing
- Main objective is guiding tenants through qualification process, submitting Letter of Intents, negotiating terms and conditions, and document execution.
- Answer calls from incoming leasing inquiries and broker.
- Provide property information, show/tour lease space, and quote lease rates.
- Arrange meetings and qualify lease prospects.
- Gather necessary documents from prospective tenants.
- Negotiate leases and Letter of Intent with prospective tenants and existing tenants.
- Work with architects and contractors, where necessary, to develop plans and ascertain cost, timing, and feasibility as it pertains to a specific tenant requirement.
- Interface with Property Managers and Lease Administrator to ascertain tenant status as it relates to leasing objectives.
- Interface with Development and Construction team to help determine optimal use of existing or developing assets as it relates to maximization of tenant uses.
- Generate leads and track leasing prospects when time is available.
Operations
- Update and maintain Weekly Leasing Activity and “pipeline” reports, information provided from Directors of Leasing.
- Review tenant arrears weekly (should be property manager responsibility to communicate to DOL)
Communication
- Excellent communication skills in managing tenants and expectations in a controlled demeanor.
- Communicate with brokers frequently on deal status and potential deals.
- Coordinate with leasing team to update merchandising plan.
- Work with in-house marketing team to update marketing materials such as flyers, brochures, and other advertisements as necessary. Also develop stacking plans for all properties.
- Plan, coordinate and execute marketing and promotional events, open houses, etc.
- Attend Real Estate/Retail industry organizations and local/regional events to network with brokers, competitors, and leasing prospects (Retail).
Technology
- General knowledge of Microsoft Windows based PCS.
- Proficiency in using Microsoft Office apps including Outlook, Word, Excel, OneNote, OneDrive/SharePoint.
- Experience with Apple IOS Devices.
- Experience with collaboration apps including, Teams, Zoom & WebEx.
PRE-REQUISITES:
- Must be available at all times to address emergencies (should be property manager function) and be quick to reach out resources should a space become available unexpectedly.
- Minimum 7 years of experience working in the NY/NJ Commercial Property industry.
- Knowledge and understanding of the commercial leasing process.
- Knowledge and understanding of the space planning and tenant improvement process.
- Must be organized and able to navigate through required paperwork.
- Must be efficient with tracking and following up on day-to-day operations and deadlines.
- Must have excellent communication skills (written reports/analysis and oral presentation).
- Must have ability to prioritize and manage multiple projects simultaneously with attention to deadlines as set by the executive team.
- Must have knowledge and experience with financial accounting in real estate, financial reports, and budgeting.
- Energetic, personable & able to prioritize assigned duties.
- Must be able to supervise multiple staff and property and effectively delegate all assigned duties as necessary.
