What are the responsibilities and job description for the Program Assistant (CCT Project) position at L.I.F.E. Inc.?
The Program Assistant will provide support to the CCT Department and ensure that all department needs are met in accordance with company and state standards. The Program Assistant, under general supervision, will follow procedures to perform a wide variety of clerical and field duties in support of client wellness and betterment related to the CCT (California Community Transitions) Project.
HOURS
Part-time position. 15-20 hours per week. Occasional work on weekends, when required.
JOB DUTIES
1. Provide clerical, secretarial, and administrative support
2. Ensure the professional and timely response to calls, emails, and messages
3. Fill out and file paperwork related to the CCT Project. Maintain electronic and paper files as
instructed
4. Identify, research, and apply for enrollee housing options, including low-income housing
programs
5. Apply for various programs and resources
6. Act as a translator for the department and main point of contact for Spanish-speaking clients
7. Assist with client monthly visits over the phone and/or in person
8. Conduct job duties in the field when necessary, assisting with client errands, facility visits, and
various errands.
9. Assist in collecting necessary information for transition planning
10. Play an active role in regularly checking and tracking billing status and payments
11. Assist in maintaining client files (digital and physical) and updating tracking sheets and
databases
12. Track and record all client-related work and ensure that case notes are documented accordingly
13. Submit various documents through portals with the California Department of Health Care
Services
14. Undertake projects and other duties as assigned.
REQUIRED SKILLS
1. Fluent in Spanish and English. Excellent verbal and written communication skills.
2. Broad knowledge of computer software including word processing, spreadsheets, and emailing
3. Ability to establish and maintain professional communication and relationships in the workplace
and with clients
4. High level of professionalism and discretion in handling sensitive and confidential information
5. Excellent attention to detail, organization, and time management skills.
6. Ability to work effectively under pressure due to changing priorities and interruptions
7. A passion for social work, helping others in the community and support of the company’s
mission in advocacy for seniors and individuals with disabilities.
8. A positive, friendly attitude, exceptional customer service skills, and a high level of flexibility.
EDUCATION AND TRAINING
High school graduate or equivalent, required. Minimum level of college coursework: Associate’s degree
or at least 2 years of progress towards a bachelor’s degree. Completion of degrees, coursework, or
certifications related to Non-Profits, Social Work, Health Care, or Business Administration highly
preferred.
EXPERIENCE
Experience working in a support role on an office team, preferred. Familiarity with Medi-Cal programs and local social services and non-profits, preferred.
