Part-time Staff: Academic Course Scheduling Coordinator

General Description of Position

This position will coordinate and perform a variety of administrative and technical duties in support of the daily management of the academic schedule. Serving as a member of the Office of the Registrar, this position will work collaboratively across campus to ensure efficiencies in the academic schedule and manage academic and non-academic room reservations.

RESPONSIBILITIES (non-inclusive):

  • Coordinate the development and maintenance of the college’s academic schedule, assisting stakeholders regarding general procedures for class scheduling.
  • Support departments in changes to schedule changes including class cancellations, instructor and room assignments and changes, classroom technology needs, course modalities, and setting up independent study sections.
  • Review catalog changes to ensure accuracy of prerequisites and other course information in Banner.
  • Mange the 25Live program for classroom schedule, assisting departments with assignment of classrooms.
  • Coordinate processing and assignment of rooms for special events, examinations, meetings, and other activities.
  • Negotiate complex scheduling needs and resolve conflicts as they relate to classroom space use.
  • Devise solutions to classroom space and scheduling problems, taking into account the curriculum needs of students, the needs of faculty, and space availability.
  • Coordinate and manage the final exam schedule.
  • Provide information regarding classroom needs and usage, classroom utilization, and make recommendations for improvements related to academic and non-academic scheduling processes and procedures, technology solutions, and efficient use of space.
  • Perform related duties as assigned.

QUALIFICATIONS:

Education/Training and Experience Required/Preferred

Associate's degree and two years of progressively responsible experience working in an educational setting; or an equivalent combination of training and experience. 

Demonstrate proficiency using of Microsoft Office programs, including Forms, Word, and Excel, PowerPoint.  

Knowledge, Skills and Abilities:

  • Strong analytical, problem-solving, planning, and time management skills; strong organization skills, able to balance priorities, and is detail-oriented.
  • Ability to work cross-departmentally, understanding and prioritizing multiple points of view to create effective, creative solutions for various stakeholders.
  • Advanced interpersonal skills to work with and gain trust from administrators, faculty, staff, and community.
  • Demonstrated commitment to providing excellent service.
  • Understand and follow college operations, policies, and objectives.
  • Communicate effectively both orally and in writing.
  • Knowledge of modern office practices, procedures, and equipment; correct English usage; basic mathematics.
  • Skills in following oral and written instructions; preparing reports; performing mathematical calculations.

CONDITIONS OF EMPLOYMENT:

This is a year-round, part-time, non-exempt, staff position budgeted to work an average of 29 hours per week. Applicants must be able to work an average of 29 hours per week during the office's operating hours of Monday-Thursday, 8:00 a.m. – 6 p.m. and Friday, 8:00 a.m. – noon.

The hourly salary is at grade 5A of the staff salary schedule. The starting rate of pay is $15.73/hour.  Non-insurance benefits include vacation, sick leave, personal time, 11 paid holidays; and a partial tuition waiver for courses taken at the college by the employee and immediate family.
