About This Role:
What You’ll Do – Position Duties
As a member of our team, you will have an impact on our clients through accomplishment of the following responsibilities:

The Graduation Coordinator participates in daily operations of the Records office including graduation, commencement, transcripts, and student degree audits.

Essential Job Functions:

Customer Service:
  • Provides quality customer service relating to commencement, transcripts, degree audit system and general record enquires
  • Maintains departmental email boxes
  • Departmental phone queue
  • Counter assistance
  • Comply with and adheres to Family Educational Rights and Privacy Act when dealing with public and university community.


Graduation:
  • Collaborate with academic departments to ensure eligible students’ names have been submitted in a timely manner to apply for graduation
  • Manually reviews audits to ensure degree clearance and certification
  • Specialize in identifying graduation honor candidates and calculating honors GPA
  • Manually sets student up to apply for graduation
  • Maintain master list of graduating students – as students apply or departments notify of changes, manually update master list and application status in Banner using appropriate codes
  • Verify final grades and GPA before awarding degrees
  • Identify and track students who do not meet the qualifications to graduate
  • Track those students who defer walking at commencement and create walking cards for them at the appropriate time
  • Determine whether students who applied for tuition reimbursement meet the qualifications for this benefit
  • Award degrees using batch process in Banner
  • Manually freeze student’s degree audits after awarding degrees for retention purposes
  • Produce diplomas to be disseminated at graduation, mailed out after graduation, or produced throughout the year as replacements or additional diplomas (print, stuff, label)
  • Coordinate Graduation Fair with Undergraduate Coordinator and Assistant Registrar
  • Secure vendors and departments to participate
  • Obtain door prizes and snacks to hand out
  • Pass out flyers
  • Send out correspondence to students to attend
  • Secure venue, mascots, volunteers
  • Assists in the coordination of commencement ceremonies with Supervisor of Graduation and Transcripts and Assistant Registrar
  • Facilitate and maintain inventory of diploma stock, tubes, envelopes, labels, and honor cords.
  • Ensure accuracy of information in the commencement program, on undergraduate diplomas, and for graduation-related information in Banner.
  • Secure volunteers to work
  • Develops and emails mass correspondence to graduating students
  • Prepares walking list and walking cards
  • Attends Commencement Committee meetings
  • Be readily available to answer questions at ceremony

DegreeWorks:
  • Serves as back up Scribe to LU degree audit system
  • Assist in training faculty and staff in DegreeWorks, best practices and procedures
  • Correspond with students, faculty and staff regarding degree requirements advice
  • Process course substitutions for core classes, and for major classes when requested by departments to do so.

Additional Duties:
  • Serve as back up to transcript production
  • Process transcripts, as needed
  • Update student records in Banner, as requested
  • Assist in recruitment, hiring, and training of co-workers

Minimum Qualifications
What You’ll Need to Succeed – Minimum Qualifications
To be successful in this role and a great addition to our team we need you to come with the following:

Education/Experience:
  • Degree preferred, but not required
  • Six months of on the job-related experience preferred, but not required


Knowledge, Skills, and Abilities:
  • Knowledge of student information systems and degree audit systems, preferably Banner and DegreeWorks
  • Excellent communication, interpersonal, and organizational skills
  • Strong logical and analytical problem-solving skills; critical thinking skills with attention to details
  • Strong interpersonal skills and the ability to effectively communicate with a wide range of individuals and constituencies in a diverse community
  • Strong organizational, time management and project planning skills
  • Ability to work independently as well as on a team
  • Strong initiative and the ability to coordinate multiple tasks simultaneously in a high-pressure environment
  • Must be approachable and highly customer service oriented; must be detail-oriented, but also able to strategically conceive and coordinate long-term projects and events planned over a long period of time.
  • Ability to effectively communicate with a wide range of individuals and constituencies in a diverse community
