The Sales Assistant will provide essential support to the Executive Director, while training to be a sales person with gradually independent sales and marketing efforts. The successful candidate will have prior experience either as an Administrative or Sales/Office Assistant, and be a trustworthy, self-motivated, exceptionally organized team player with excellent time management skills that can anticipate and manage the needs of the executive.
This position will work in a combination of our Rockville MD office, an Olney MD home office, with occasional potential for working on site at events or remote work. The successful candidate should be willing and able to travel domestically and internationally. This position will typically operate during normal business hours of 9AM to 5PM, but with flexible hours in order to better support your direct supervisor and manage client communications.
Responsibilities
- Management of your supervisor’s schedule including scheduling meetings and calls, updating calendars, travel schedule, and managing overall communications. This will include daily reminders of the agenda as well as assistance in keeping your supervisor apprised of imminent meetings and calls.
- Management of your supervisor’s inbox including delegation within established protocols, tagging emails for appropriate follow up, and drafting responses for your supervisor.
- Sales related assistance to your supervisor, including managing sales leads by phone, drafting responses and sales proposals to inbound client inquiries, job costing, and preparation of client contracts and processing of newly signed and updated clients/contracts, gradually including independent sales.
- Assist with facilitating and organizing headliner inquiries for upper management
- Perform various administrative tasks and sales related support to your supervisor including draft budgets and sales proposals for prospective clients, gradually including independent sales.
- Management of expense reports
- Attendance at up to 2 promotional events outside of office hours per month
- Office related and personal errands for your supervisor
- Other duties as assigned & based on experience
Requirements
- A cool-headed problem solver with a level head in stressful situations
- Friendly, warm, and helpful personality
- Trustworthy and discreet with confidential information. Must have excellent personal references.
- 2-3 years experience in an Administrative or Sales Assistant role
- Highly detail-oriented with exceptional organizational skills & the ability to anticipate the needs of your supervisor
- Exceptional and precise verbal/written communication and interpersonal skills, including warm friendly phone communication
- Ability to manage multiple ongoing projects, establish priorities, and adjust to rapidly evolving priorities
- Must possess the ability to self-motivate in a multifaceted, high-pressure environment
- Strong technical aptitude with excellent typing skills and knowledge of Google and Microsoft Office Suites
- Knowledge of Salesforce is not required but is a plus
- Technical aptitude with wireless networks, printers, etc. is not required but is a plus
