The role
As the office assistant of our Paris studio, you will oversee and support all administrative day to day office duties to ensure the office is operating smoothly for employees, clients and service providers. This is a part-time on-site position: 14 hours a week, flexible enough to suit a student.
- Manage day to day office management (meeting rooms, office and kitchen supplies, liaison with couriers, etc.) and maintenance (logging ticket for maintenance and making sure it is dealt with)
- Coordinating any external visits or meetings to our office and internal events for staff (meeting room set-up), welcoming and helping eventual guests coming to the office
- Provide general administrative support to the Executive Committee members (travel booking, assist with timesheets and expenses, etc.)
- Assist with other occasional tasks depending on the Executive Committee needs (booking the dedicated provider for confidential documents destruction process, organizing lunches or breakfasts, booking taxis)
- Reception and distribution of incoming post mail and deliveries, couriers…
- Liaise with IT re: the IT equipment for onboarding and offboarding process
- Set-up photoshoot for new joiners
- Update organization charts
What are we looking for?
- Excellent written and verbal communication skills in both French and English
- Good organizational skills with the ability to multitask amongst constantly shifting priorities
- Ability to work in a front desk and fast-paced environment
- Acute attention to detail
- Enthusiast and able to uphold a positive attitude at all times
